About this role

Job summary

To work as part of the Integrated Administration Team providing comprehensive administration/hub/reception services including phone duties/typing/scanning/filing/managing incoming and outgoing mail/manage and receive telephone calls and messages/ensuring effective communication and courtesy at all times/supporting the multi professional team members with administrative tasks and generally assisting in the coordination of the smooth running of the team as a whole.

The post holder should be aware that this post will require working within the Neighbourhood Hub with weekend/out of hours working to support the Trust's aim of a 7 day service across Somerset.

Main duties of the job General reception duties including answering telephone calls, booking meeting rooms, franking outgoing post, distributing received post, ensuring stationery supply levels are maintained, greeting visitors, uploading and opening of referrals to relevant teams, completing signing in and out of staff, scanning and uploading of documents to patient records.Integrated hub duties including answering telephone calls, opening referrals received by telephone and email, liaising with clinical staff, booking DN visits and ambulatory clinic appointments, booking ICE bloods, completing signing in and out of staff, updating patient notes on RiO.

Person Specification

Qualifications Essential

GCSE (or equivalent) English & Mathematics

Desirable

RSA Stage III word processing / typing or equivalent / NVQ 3 business and administration or working towards within agreed time scale.

Experience Essential

Knowledge of information technology packages including Microsoft Word, Excel, Outlook and PowerPoint Experience of setting up and maintaining office systems Appropriate and significant amount of administrative experience Proven teamwork experience

Desirable

Experience of using electronic systems e.g. RiO, Integra, E-roster

Additional Criteria Essential

Willingness to use technology to improve standards of care to our patients Conscientious and reliable with a willingness to be flexible in order to meet the needs of the service Access to transport to travel in connection with the post to attend meetings or training events across the county Ability to work flexibly across a 7 day period Ability to spend periods of time sitting down to use VDU. Ability to operate machines such as printer / scanner Ability to prioritise own workload and keep to deadlines

Experience of co-ordinating meetings Ability to take minutes Good problem solving skills and patience
