About this role

Job summary

The Lighthouse Group Practice is seeking a Medical Administrator / Care Co-ordinator to join our friendly and dedicated team, working 30 hours per week.

Working primarily as part of the Medical Administration team, but also providing ad-hoc support to the Quality Assurance Assistant, the successful candidate will play an important role in supporting patient access to high-quality care and ensuring the accurate and efficient delivery of key administrative functions across the practice.

The Medical Administration Team is based at both Southsea Medical Centre and Devonshire Avenue. Applicants must be able to work flexibly on a rota basis between 07:30 and 18:30.

Main duties of the job

The postholder will provide a welcoming, professional, and efficient service to patients, visitors, and the wider practice team. Working as part of a busy and supportive environment, the role will involve managing appointments and enquiries, supporting patients through face-to-face, telephone, email, and digital channels, and ensuring they are guided to the right care and services. The postholder will also be responsible for a range of administrative duties including prescription processing, patient record management, clinical correspondence, and registration updates. In addition, they will support the practice with quality improvement, governance, safeguarding, and complaints processes, helping to deliver a safe, effective, and patient-centred service in line with NHS standards.

Main duties of the role include, but are not limited to:

Provide a welcoming, professional, and efficient reception service for patients, visitors, and the wider practice team. Manage appointments, patient check-ins, general enquiries, and administrative support both face-to-face and via telephone. Answer and respond to telephone calls, emails, and patient queries promptly and appropriately, providing information and directing patients to the correct service or clinician. Process and navigate patient requests through digital platforms, supporting access to online services where required. Process repeat prescription requests and ensure timely referral for clinical authorisation. Maintain accurate patient records, including scanning, coding, filing, registrations, demographic updates, and record management in line with GDPR and NHS guidance. Support the processing of Subject Access Requests and ensure appropriate handling of confidential patient information. Assist with quality assurance, governance, and continuous improvement activities to support compliance with CQC and NHS requirements. Provide administrative support for safeguarding processes, including meetings, record keeping, and mandatory training requirements. Support the management of complaints by logging, acknowledging, and assisting with follow-up actions. Work collaboratively with clinical and administrative teams to deliver a safe, effective, and patient-centred service.

Person Specification

Experience Essential

Previous experience working in a GP practice or NHS setting Familiarity with clinical systems (e.g. SystmOne, EMIS, or similar) Previous administrative experience in a busy office, healthcare, or customer service environment Experience of working with the public in a patient/customer-facing role Experience of using IT systems and electronic records

Desirable

Knowledge of care navigation or patient triage processes Experience handling prescriptions or clinical correspondence Experience in complaints administration Understanding of medical terminology

Qualifications Essential

Good standard of general education Four GCSEs or equivalent, including English and Maths, at Grade 4/Grade C or above

Desirable

NVQ Level 2/3 qualification in Business Administration, or equivalent knowledge and experience gained through relevant administrative roles. Level 3 qualification in an administrative subject or equivalent experience.
