Job Profile:
The Procurement Assistant is responsible for supporting the Procurement team and Sr Operation officer in managing and overseeing RI's procurement and logistics operations.
Key Responsibilities:
Accountability and Complexity - Assist the Senior Operation Officer in implementing procurement activities in accordance with Relief International (RI) policies, procedures, and donor regulations. - Support the preparation and processing of procurement files from PR) stage through purchase orders, contract issuance, goods receipt, and payment documentation. - Conduct regular market assessments and maintain an updated supplier database to ensure competitive and reliable sources. - Assist in reviewing Purchase Requests to ensure completeness, accuracy, and compliance with procurement requirements. - Coordinate with suppliers to ensure the timely delivery of goods and services in accordance with purchase orders and contractual terms. - Ensure all procurement activities are carried out in compliance with RI policies and procedures, as well as applicable donor regulations. - Prepare, follow up, and maintain all procurement documentation, including RFQs, comparative bid analysis (CBA), procurement summaries, purchase orders, archiving. - Coordinate with RI field offices and other locations to support procurement requirements and ensure timely delivery service. - Work closely with the logistics team and other departments to ensure procurement needs are planned and fulfilled efficiently. - Maintain accurate procurement tracking tools and provide regular updates on procurement status to the Senior operations Officer. - Assist in obtaining quotations, communicating with suppliers, and following up on pending offers, deliveries, and documentation. - Support supplier performance monitoring and maintain positive professional relationships with vendors. - Ensure procurement records are complete, well-organized, and readily available for internal and external audits. - Other duties assigned by the Senior Ops Officer or SCO Coordinator.

Person Specification
Skills, knowledge and expertise required for the role. Essential criteria - Bachelor’s degree in Business Administration or other relevant field - 1 year at least of experience in similar roles. - Willingness and ability to work effectively with a wide variety of people.
• Flexibility to support by field visits. - Ability to work as part of a team and coordinate with project personnel. - Good Computer skills. Desirable criteria - Ability to work under pressure and strict deadlines
