EXECUTIVE ASSISTANT

The Executive Assistant reports to the Chief Sales & Marketing Officer (CSMO) and provides high-level, confidential administrative and operational support to the CSMO and the VP of Sales & Business Development, with additional support to members of the Executive Leadership Team as required. This role is essential to the effective operation of the Executive Office, enabling leadership to focus on strategic priorities and organisational objectives.

Serving as a trusted partner to senior leadership, the Executive Assistant manages complex calendars, communications, and executive workflows with professionalism, discretion, and sound judgment. The role also acts as a key liaison between executives, internal teams, and external stakeholders, ensuring clear communication, coordination, and timely follow-through on executive initiatives.

Key Responsibilities:

• Provide comprehensive administrative support to the CSMO, including complex calendar management, meeting coordination, and prioritisation of competing demands.

• Support assigned Executives and Vice Presidents as required, ensuring alignment with executive priorities and capacity.

• Coordinate complex domestic and international travel arrangements, including itineraries, agendas, and logistics.

• Prepare, edit, and manage executive correspondence, briefing materials, presentations, and reports.

• Manage executive expense reporting and reconciliation with accuracy and timeliness.

• Monitor and manage multiple executive and group inboxes, responding where appropriate and escalating matters requiring executive attention.

• Coordinate leadership team, staff meetings, and Lunch & Learn sessions as required.

• Prepare meeting materials, take accurate and detailed minutes, and track follow-ups and action items to completion.

• Provide back-up administrative support to the Operations team as needed during peak periods or absences.

• Publish reports, manage agendas, materials, pre-reads, and minutes.

• Serve as a primary liaison with CSMO for meeting logistics, documentation, and communications.

• Maintain confidentiality and discretion in all Board-related matters.

• Perform other relevant duties and ad hoc tasks as required to support office operations.

Qualifications & Experience:

• Associate’s degree or equivalent in Business Administration or a related field; a Bachelor’s degree is strongly preferred.

• Minimum of 5 years’ experience providing high-level administrative support to senior executives in a fast-paced environment.

• Advanced proficiency in Microsoft Office Suite, including Excel and PowerPoint; experience producing polished Board and Executive-level materials.

• Experience using CRM and Financial Management systems (SimpleView, Concur or similar preferred).

• Excellent written and verbal communication skills, with strong attention to detail and sound professional judgment.

• Proven experience supporting Executive level governance and activities, including preparation of meeting materials, agendas, minutes, and coordination with Executive and Leadership members.

• Exceptional organisational, planning, and time-management skills, with the ability to manage multiple priorities and competing deadlines in a fast-paced, confidential environment.

• Demonstrated ability to work independently, exercise discretion, and handle confidential information with integrity.

• Strong problem-solving skills and a proactive, solutions-oriented approach.

• Comfortable operating in a small, mission-driven organisation and supporting evolving leadership needs.

• Willingness to work outside of normal business hours on occasion to support operational needs.
