Barnsley Hospice is looking for an enthusiastic and organised Fundraising Data Administrator to join our friendly and dedicated Income Generation Team.
About the Role
As our Fundraising Data Administrator, you will play a vital role in supporting the Hospice's fundraising activities by ensuring supporter information and donation records are accurate, up to date and managed efficiently.
Working closely with colleagues across the Fundraising and Finance teams, you will process donations, maintain our fundraising CRM, produce reports, support fundraising campaigns and provide excellent customer service to our supporters.
This is an excellent opportunity for someone who enjoys working with data, has strong administrative skills and takes pride in accuracy and organisation. Your work will directly support the fundraising activities that help Barnsley Hospice continue providing specialist palliative and end-of-life care to local people and their families.
Main duties of the job
Key Responsibilities
Accurately process donations from a variety of income streams. Maintain and update supporter records using the Hospice CRM, ensuring GDPR compliance. Process Gift Aid claims and supporter acknowledgements. Produce reports and analyse fundraising data to support campaigns and decision-making. Prepare mailing lists and administrative support for fundraising appeals and events. Respond to supporter enquiries by telephone, email and in person, providing excellent customer service. Process cash, card, cheque and online donations in accordance with Hospice financial procedures. Support month-end processes and provide reports to the Finance Team. Work collaboratively with colleagues to continuously improve fundraising systems and processes.

The Fundraising Data Administrator will be responsible for:
Processing fundraising income accurately and efficiently across multiple income streams.
Maintaining and updating supporter records on the Hospice CRM, ensuring data is accurate and compliant with UK GDPR.
Processing Gift Aid claims and donor acknowledgements.
Producing reports and supporting fundraising data analysis to inform fundraising and marketing activity.
Preparing mailing lists and administrative support for fundraising campaigns and events.
Responding to donor enquiries in a professional, friendly and timely manner.
Working with the Hospice's external lottery provider to maintain accurate supporter records and consent preferences.
Counting, recording and processing cash, cheque, card and online donations in accordance with Hospice financial procedures.
Assisting the Finance Team with income reconciliation and month-end reporting.
Raising purchase orders, processing invoices and supporting financial administration.
Maintaining accurate fundraising administration systems, records and filing in line with Hospice policies.
Identifying opportunities to improve administrative systems and processes.
Working collaboratively with colleagues across the Hospice, including the Fundraising, Finance and Reception teams, to support smooth fundraising operations.
Ensuring all work is carried out in accordance with Hospice policies, procedures and relevant legislation, including UK GDPR and Fundraising Regulator guidance.
Undertaking any other duties appropriate to the role as reasonably requested by the Individual Giving and Supporter Care Team Manager.
Person Specification
Qualifications Essential
GCSE Grade C/Level 4 or above (or equivalent) in English. GCSE Grade C/Level 4 or above (or equivalent) in Maths.
Desirable
NVQ Level 3 (or equivalent) in Business Administration, Customer Service or a related subject.
Experience Essential
Experience of accurate and efficient data entry. Experience of working with a CRM or database system. Experience of extracting and analysing data from databases to produce reports. Experience of processing cash, cheque and card transactions. Experience of handling telephone and email enquiries professionally and efficiently. Experience of working as part of a team. Experience of working independently and managing own workload.
Desirable
Experience of reviewing and developing systems and processes. Experience of working in fundraising, supporter care or the charity sector. Experience of using Beacon CRM or a similar fundraising database.
