Job description Job responsibilities
We are looking for a friendly, reliable Receptionist/Administrator to join our busy GP surgery. You will be a key member of the practice team, providing both front-of-house reception support and essential administrative assistance. As the first point of contact for patients, you will deliver excellent customer service in person, over the telephone, and via online communication channels.
Your duties will include booking appointments, managing patient enquiries, updating and maintaining accurate patient records, processing correspondence, scanning and coding documents, and carrying out a range of administrative tasks to support the clinical and management teams. You will be expected to work across both reception and administration functions as required by the needs of the practice.
The successful candidate will be organised, IT-literate, and able to work effectively in a fast-paced environment while maintaining a calm, professional, and compassionate manner. Excellent communication and multitasking skills are essential. Previous experience in a healthcare or customer service setting is desirable. Familiarity with EMIS and Docman systems would be an advantage.

Other Requirements Essential
Commitment to maintaining patient confidentiality at all times. Willingness to undertake training relevant to the role. Flexibility to cover holidays, sickness absence, and additional hours when needed.
Desirable
Full understanding of GP practice workflows and appointment systems.
Qualifications Essential
Good standard of general education, including GCSEs (or equivalent) in English and Maths.
Desirable
NVQ Level 2/3 in Business Administration, Customer Service, or equivalent qualification.
Knowledge & Skills Essential
Understanding of the importance of confidentiality and data protection. Knowledge of excellent customer service principles. Excellent communication skills, both verbal and written. Strong interpersonal skills with the ability to deal with people sensitively and professionally. Good IT skills, including Microsoft Office and email systems. Ability to maintain accurate records and process information efficiently. Good organisational and time-management skills. Ability to work under pressure, prioritise workload, and meet deadlines. Ability to work independently and as part of a team.
Desirable
Knowledge of NHS services and primary care processes. Understanding of NHS patient confidentiality requirements and information governance. Experience of scanning, coding, and processing clinical correspondence. Experience of handling patient registrations, referrals, and other practice administration tasks.
