About this role
We are seeking a highly organized and detail-oriented Department Assistant to provide administrative and clerical support to department leadership and staff. This position plays a key role in ensuring efficient daily operations through scheduling, report preparation, data management, communication coordination, and customer service support.
The ideal candidate will thrive in a fast-paced environment, demonstrate excellent organizational skills, and possess strong computer and communication abilities.
Key Responsibilities
• Provide administrative and secretarial support to department leadership.
• Assist with special projects and departmental initiatives.
• Prepare correspondence, reports, presentations, and other documents.
• Maintain departmental records, files, and databases.
• Compile and distribute reports and departmental communications.
• Schedule meetings, prepare agendas, record meeting minutes, and coordinate department events.
• Collect and enter data into appropriate systems.
• Order and maintain office supplies.
• Provide backup receptionist coverage and assist customers by answering questions and directing inquiries.
• Support departmental performance monitoring and goal achievement.
• Collaborate effectively with team members across the organization.
Education
• High school diploma or equivalent required.
• Coursework in business, office administration, or related field preferred.
• Secretarial school training preferred.
Experience
• Previous office, administrative, or clerical experience preferred.
• Experience using Microsoft Office applications, including:
• Word
• Excel
• Access
• Windows-based systems
Skills & Abilities
• Strong typing, filing, proofreading, and data entry skills.
• Excellent organizational and time management abilities.
• Ability to prioritize multiple tasks and meet deadlines.
• Strong verbal and written communication skills.
• Ability to learn and utilize healthcare information systems and software.
• Professional demeanor and commitment to customer service.
Physical Requirements
• Occasional standing, walking, bending, crouching, pushing/pulling, and lifting up to 30 pounds.
• Continuous concentration, attention to detail, and communication responsibilities.
• Primarily office-based work environment.
