JOB DESCRIPTION

We are looking for an Administrative Assistant to join the Bid Operations Team!

PPMI (part of the Verian Group) is a leading European research and policy analysis centre. COME PREPARED

A successful candidate will have:

• 0-1 years’ experience in administrative roles, with general knowledge of office processes and procedures.

• Being quality-conscious without losing overall focus.

• The ability to manage multiple projects at once and prioritise work.

• Proficiency in Microsoft Office Suite and strong experience with AI tools, including Claude and ChatGPT

• Strong attention to detail.

• Proactive and flexible approach, with a willingness to learn and take on new tasks

• Ability to work well in a team and follow instructions. This role is a good fit for you if you enjoy performing repetitive and administrative tasks.

• Good command of spoken and written Lithuanian and English.

BE READY TO CHALLENGE YOURSELF

On a day-to-day basis, you will:

• Execute and maintain public procurement procedures for consulting projects (on the seller side). This will include preparing documentation according to the Terms of Reference, based on instructions from the team.

• Communicate with the clients, external partners and internal team members on proposal preparation and submitting matters.

• Ensure smooth implementation of internal procedures by following instructions from team members and supporting the team in administrative tasks as required.

• Update and maintain relevant databases.

• Proactively identify and resolve routine administrative issues to ensure smooth workflow.
