About this role
Plug and Play Italy is seeking a dynamic, organized, and proactive Office Admin. The candidate will play a key role in the day-to-day management of our Italian offices, supporting administrative, accounting, and logistical activities at our Milan headquarters and other national offices. We are looking for a hands-on, problem-solving individual who can thrive in a fast-paced, highly collaborative international environment.
What You’ll Do:
Office Operations & Cross-Office Coordination
● Coordinate the day-to-day operations of the offices in Milan, Turin, Modena, and Catania. ● Ensure the smooth running of the workspaces and support the operational needs of the local teams. ● Collaborate with landlords, facility managers, and external vendors on routine and special maintenance.
Vendor & Facility Management
● Manage relationships with suppliers, technicians, and general services. ● Monitor service calls, contract deadlines, and the quality of services provided. ● Ensure high standards for the workplace and the office experience.
Procurement & Office Supplies
● Manage orders and procurement for office supplies, consumables, catering, and other office-related services. ● Optimize costs, timelines, and purchasing processes.
Administrative & Accounting Support
● Provide administrative and accounting support, including managing invoicing to suppliers and supporting invoicing to partners. ● Manage administrative systems and company documentation. ● Provide support for electronic data processing and the monitoring of administrative activities.
Event & Operational Support
● Support the PR & Communications team in coordinating vendors and organizational activities related to events, in-person meetings, and other corporate initiatives. ● Design of flyers, social media posts, posters, etc., for large and small events. ● Continuous update of the PnP Italy master deck. ● Maintain updated and organized drives.
What We’re Looking For:
● Previous experience in administrative and/or accounting roles. ● Excellent knowledge of English, both written and spoken. ● Strong sense of responsibility, proactivity, and initiative. ● Excellent organizational and problem-solving skills. ● Excellent interpersonal and communication skills in managing internal and external stakeholders. ● Ability to work in a dynamic and international environment. ● Good knowledge of Microsoft Office / Google Workspace.
Nice to Have:
● Experience in international settings, startups, or innovative environments. ● Familiarity with ERP systems or digital administrative platforms.
