Position Summary:
The Operations Process & Systems Specialist is an exempt position reporting to the Director of Operations. This role combines hands-on operational support with process improvement initiatives. The Specialist develops expertise in the company's order processing operations while identifying opportunities to streamline workflows, optimize systems, enhance reporting, and implement technology solutions that improve efficiency across the organization. This position plays a key role in evaluating automation and AI tools, supporting ERP enhancements, and driving continuous operational improvement.
Schedule: This role works 9:00 AM - 5:00 PM; Monday-Friday onsite.
Duties and Responsibilities

Order Processing & Operational Support
• Process sales orders, purchase orders, remakes, and sample requests in the e-PIC system.
• Review customer-entered orders for completeness and accuracy.
• Verify pricing, costs, and product information.
• Confirm sales orders to customers and issue purchase orders to factory partners.
• Monitor open orders and communicate status updates to the Customer Service team.
• Coordinate with factories, warehouse, production, and Customer Service to support timely order fulfillment.
• Enter tracking information and update shipment status within the ERP system.
• Maintain accurate product and order information within e-PIC.
• Identify order discrepancies and escalate issues as appropriate.
• Support day-to-day operational activities while developing expertise in company order processing workflows.
Process Improvement & Systems
• Analyze operational workflows to identify opportunities to improve efficiency, accuracy, automation, and collaboration.
• Recommend and implement process improvements that reduce manual work and improve operational effectiveness.
• Evaluate AI, automation, and other technology solutions to support business operations.
• Develop reports, dashboards, and data analyses to support operational decision-making.
• Improve Excel-based tracking tools and operational reporting.
• Assist with ERP optimization and system enhancements.
• Research, test, and recommend software solutions that support Operations.
• Document and maintain Standard Operating Procedures (SOPs).
• Collaborate cross-functionally to improve operational processes and system utilization.
• Participate in special projects and continuous improvement initiatives.
Qualifications and Skills:
• Bachelor's degree in Business, Operations Management, Supply Chain, Information Systems, Data Analytics, or a related field required.
• 3-5 years of experience in operations, business process improvement, business analytics, supply chain, systems administration, or a related field.
• Demonstrated experience identifying and implementing process improvements.
• Intermediate Microsoft Excel skills (PivotTables, XLOOKUP, Power Query, formulas, etc.).
• Experience working with ERP or order management systems.
• Strong analytical, problem-solving, and critical thinking skills.
• Excellent attention to detail and organizational skills.
• Ability to manage multiple priorities and projects in a fast-paced environment.
• Strong written and verbal communication skills.
• Experience evaluating or implementing workflow automation, business systems, or AI-enabled tools preferred.
• Experience documenting or maintaining SOPs preferred.
• Familiarity with Lean, Six Sigma, or other continuous improvement methodologies preferred.
