About this role
[What the role is] This is a 2-year contract position as an Executive / Senior Executive in the School of Design & Environment. [What you will be working on] Your responsibilities will include, but are not limited to, the following:
• Provide admin support to School.
• Assist academic staff in the various admission exercises.
• Assist in CET and short course administrative work.
• Assist in FIN roles such as GeBIZ catalogue purchases, issuance of POs, Goods Receipt and others.
• Assist in dissemination of information/emails from other departments to relevant School staff.
• General office administration (e.g., ordering water/supplies, managing pigeonholes, preparing new colleague workstations, keeping track of photocopy machine usage, and filing teaching observation records).
• Administer the hiring form process and teaching claims for Associate Lecturers/Associate Trainers/Lecturers.
• Support the online needs of learners in ensuring their accessibility to learning management system and other digital platforms.
• Provide administration support such as minutes taking, scheduling of meetings, counter duty, etc.
• Front-Line Administration: Office counter duties, managing the call management system (DE Hotline).
• Support other administrative needs of the School as and when assigned.

• Pro-active, can respond quickly and work resourcefully with other stakeholders.
• Careful and detail-oriented.
• Able to communicate well with staff, students, course participants and associate lecturers/trainers.
• Good verbal and written skills.
• Proficient in using MS Teams, MS Excel, MS PowerPoint and preferably Power Automate.
