Job Description:

Production Coordinator (Project-Based Role)

Job Disclosures: Project-Based Position: This is a project-based position with an anticipated duration of 18 months. Location: (On-Site) Santa Fe, NM Compensation: The base annual salary for this position starts at $53,560. Bi-weekly pay as it relates to this project assignment starts at $2,060. "Off-scale salaries” and other components of pay, i.e., a salary that is higher than the published system-wide salary at the designated position grade, are offered when necessary to meet competitive conditions.

Job Summary: The Production Coordinator is responsible for supporting the Artistic, Development and Production team in the management, oversight, monitoring, budgeting, scheduling and expediting of the design development and execution of exhibition elements. These elements include artwork, fabricated elements, scenic design and facades, and set design/scenic interiors inside the exhibit. The Production Coordinator is responsible for the effective documentation and coordination of all show elements within scope, and for the dissemination of information to and between departments, vendors, creative stakeholders and project leadership. The Production Coordinator will also be responsible for general administrative tasks, data entry, errands and ordering.

Key Responsibilities:

• Assist in the creation, storage, and distribution of Production Worksheets, Production Kickoff Agendas, and Operations Worksheets for internal build teams

• Assisting in the creation of these documents may include finding artwork from project documents, locating material information, taking special note of FR and recycled materials.

• Work with our team of Production Managers to develop a small but detailed gantt that illustrates each step of the build process for the production element at hand, and in this document the labor hours spent by each team member will be tracked and associated with a specific production step.

• Assist the Production Director in scheduling individual team members’ time on our internal production Gantt Board, by feeding in information from each production element’s detailed gantt.

• Keep a tidy digital workspace, linking all production documents, cut files, 3D models, and purchased part cut sheets in their proper place and ensuring that production team members can access the files they need to throughout a project

• Schedule and attend a variety of production-focused meetings, ensuring that all meetings have a clear agenda, taking notes, and distributing notes to attendees afterward

• Manage daily schedules, calendars, timelines, and meetings of AD&P Production Managers

• Coordinate and schedule travel, meetings, and appointments for managers, employees and recruits

• Other duties as assigned, toward the successful creation and tracking of artistic production.

• Strong organization, strong written and verbal communication, a can-do approach to collaboration, and good interpersonal skills.

• Ability to work effectively under pressure, meet deadlines and drive projects to completion.

• Knowledge of document management, transcription and other administrative procedures.

Required Qualifications

• 3+ years of administration/production experience and/or holding a support role for people, teams, or organizations.

• Experience managing complex schedules and deadlines.

• Experience working in an environment where discretion regarding sensitive or confidential information was required.

• Experience in working within collaborative teams of all sizes and ability to communicate clearly, professionally and effectively.

• Proficiency with Google Suite, Microsoft Office, and Gantt Charts.

Work Environment and Physical Demands To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed must be representative of the knowledge, skills, minimum education, training, licensure, experience, and/or ability required.

Work Environment: This job operates in a professional studio and office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and scanners. A working cell phone is a required tool for this position.

Physical Demands: Prolonged periods sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at times.

The employee will comply with company and OSHA standard workplace safety protocols. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Work Schedule: This is a full-time position averaging 40 hours a week, Monday to Friday, 9 am to 5 pm MT or 10 am to 6 pm MST – occasionally requiring flexibility to work during evenings or weekends based on business needs.

Supervisor Responsibilities: This position does not require supervisory responsibility.

Travel: This position will require some travel (10%-25%)
