Summary

The Role As a Portfolio Analyst, you will own the visibility, governance, and insight that keeps our Professional Services portfolio on track. You will manage portfolio-level reporting and dashboards, coordinate risk and issue management, and support disciplined financial tracking across a set of customer engagements.

In this role, you will work closely with Engagement Managers, Project Managers, Finance, and regional leadership to provide clear, timely, and actionable insights on delivery performance. You will also help embed consistent change management, quality review, and lessons-learned practices across the portfolio—shaping how we continuously improve our services over time.

This is a hands-on leadership role suited to someone who is highly analytical, comfortable with tools and data, and able to translate complex information into clear narratives and recommendations. Job Description

Key Responsibilities Portfolio Reporting & Dashboards

• Design, maintain, and continuously improve portfolio-level dashboards and standard reports (e.g., financial health, delivery health, utilisation, backlog, risk profile) using Power BI and/or ThoughtSpot.

• Consolidate data from Salesforce (PSA), project tools, and financial systems into single, trusted views for leadership.

• Establish and manage regular reporting cadences (weekly, monthly, quarterly) to support operational reviews and executive updates.

• Highlight trends, outliers, and portfolio themes; provide clear commentary and recommendations, not just data.

Risk & Issue Management

• Own the portfolio-level view of risks and issues, ensuring consistent logging, categorisation, and impact assessment across projects.

• Partner with Engagement and Project Managers to ensure RAID logs are current, complete, and aligned to portfolio reporting.

• Drive escalation and follow-through on high-impact risks/issues, ensuring owners, actions, and timelines are clearly defined.

• Produce risk/issue summaries and heatmaps for leadership, surfacing systemic patterns and structural improvement opportunities.

Financial Tracking

• Support forecasting and tracking of revenue, margin, backlog, and other commercial KPIs across the portfolio using Salesforce PSA and standard PS metrics.

• Perform variance analysis (plan vs. actual vs. forecast) and provide clear commentary on drivers and corrective actions.

• Work with Finance and Delivery leaders to improve forecast accuracy, align delivery assumptions, and identify early signs of commercial risk.

• Ensure financial data is reconciled with project plans and portfolio dashboards, maintaining a single source of truth.

Change Management Support

• Apply basic change management practices to track the impact of key changes at the portfolio level (e.g., scope changes, timeline shifts, resourcing changes).

• Maintain a simple, standardised approach for documenting, assessing, and communicating changes across affected projects.

• Partner with Engagement and Project Managers to ensure that material changes are reflected in plans, forecasts, and portfolio reporting.

• Support communication of major changes to internal stakeholders and, where needed, to customers via project leadership.

Quality Review Facilitation

• Coordinate and support quality and governance reviews (e.g., stage gates, health checks, internal delivery reviews) across priority engagements in the portfolio.

• Ensure review inputs (status, risks, financials, outcomes, metrics) are complete, accurate, and consistent.

• Track and follow up on actions from quality reviews, ensuring owners are accountable and timelines are met.

• Contribute to the enhancement of standard review templates, checklists, and guidelines.

Lessons Learned & Continuous Improvement

• Plan and facilitate lessons learned sessions in partnership with Engagement and Project Managers at key delivery milestones.

• Capture root causes, best practices, and improvement ideas in a structured, reusable format.

• Maintain an organised lessons learned repository in Confluence, making it easy for teams to find and apply prior insights.

• Work with PS leadership and PMO to convert lessons into concrete improvements (e.g., updated templates, standards, tools, or training).

Stakeholder Collaboration & Team Leadership

• Act as a trusted partner to Engagement Managers, Project Managers, Finance, Sales Operations, and regional leadership.

• Provide clear, concise updates and briefings ahead of governance forums and executive reviews.

• Coach and support more junior analysts or coordinators (where applicable), raising overall portfolio analytics capability.

• Help drive a data-driven culture within Professional Services, promoting consistent use of tools, definitions, and metrics.

KPIs & Success Metrics

• Portfolio Reporting Timeliness & Accuracy – On-time delivery of standard reports and dashboards with minimal errors.

• Risk & Issue Visibility and Closure – Quality of portfolio risk/issue data; closure rate and timeliness of high-impact items.

• Forecast Accuracy – Accuracy of revenue, margin, and backlog forecasts versus actuals at portfolio level.

• Quality & Governance Compliance – Completion rate of planned reviews and follow-up actions.

• Adoption of Standards & Tools – Consistent use of agreed templates, tools, and dashboards by delivery teams.

• Stakeholder Satisfaction – Positive feedback from Engagement Managers, Project Managers, Finance, and PS leadership.

Key Skills & Experience

• Experience (typically 6+ years) in Professional Services, PMO, Portfolio Management, Project Analytics, or similar roles in a technology or consulting environment.

• Strong proficiency with Power BI and/or ThoughtSpot, including data modelling, dashboard design, and storytelling through visuals.

• Hands-on experience with Salesforce (PSA module) for project structures, time entries, billing, revenue, and margin reporting.

• Comfortable working with Confluence for documentation, governance artefacts, and lessons learned repositories.

• Working knowledge of MS Project and/or Monday.com for understanding and reconciling project plans, milestones, and resourcing.

• Solid understanding of project and portfolio management fundamentals (scope, schedule, cost, risks, issues, dependencies).

• Strong financial literacy, including revenue, margin, backlog, utilisation, and change-order concepts.

• Excellent written and verbal communication skills, including the ability to prepare succinct executive summaries.

• High attention to detail with the ability to validate data quality and challenge inconsistencies.

• Collaborative working style; comfortable operating across global, cross-functional teams and time zones.

Preferred Skills & Experience

• Experience in enterprise software, SaaS, or cloud transformation delivery environments; insurance or financial services industry background is a plus.

• Prior experience in a Portfolio Analyst, PMO Lead, or similar role at a regional or multi-program scale.

• Exposure to or certification in project/portfolio methodologies (e.g., PMP, PRINCE2, PMI-PBA, PfMP, SAFe, Agile).

• Advanced skills in Excel or other analytical tools to complement BI reporting.

• Experience coaching or mentoring junior analysts or coordinators.

• Familiarity with Guidewire products, GWCP, or similar enterprise platforms (optional, depending on region/portfolio).
