About this role

Job summary

We are seeking an experienced and proactive individual to join our friendly and dedicated team. This is an excellent opportunity for a motivated and organised individual with strong leadership and communication skills to play a key role in supporting the smooth running of our service. The post holder will take the lead in coordinating and managing our anaesthetic staff rotas for services within the critical care group to maintain clinical standards and ensure compliance with working time directives and medical staff terms and conditions. This includes all grades and types of medical staff including medical trainees, Consultants and any clinical staff that participate within the anaesthetic rotas.

The post holder will work closely with consultants and the directorate management team to co-ordinate clinical activities, ensuring all emergency and elective theatre sessions are created and available on the Patient Administration System (PAS), timely, accurate, and reflective of staffed and commissioned schedules including compliance with data quality parameters, taking independent action when necessary.

The post holder will deputise in the absence of the Line Manager and ensure the continuity of the service.

Main duties of the job

To coordinate and manage medical staff rotas including on-call for all departments within the critical care and theatre service group to maintain clinical standards and ensure compliance with Working Time Directives and medical staff terms and conditions.

To act as the first point of contact for all medical staff within the directorate and proactively deal with enquires from staff and external agencies in a professional manner to support the division in providing safe care to our patients.

To be responsible for ensuring all rota gaps are clearly highlighted on our rota system, ensuring the Clinical Rota Convenor, Group Manager, Directorate Manager, Clinical Director and Consultant on call are appraised of the gaps to the service.

To be responsible for sourcing interim cover where authorised.

To be responsible for ensuring effective processes are in place for the production and distribution of the rota and the quality/accuracy of the rota to all essential parties.

Co-ordinate the Induction programmes for incoming medical staff and ensure that clinical staff are being given fair opportunity to attend clinical activities relevant to their training programme.

To manage workload prioritising as appropriate, ensuring urgent and important tasks are completed within required time scales. To be proactive in the identification of workload issues that affect clinical service provision and with the support of the Deputy Service Manager and Directorate Manager, develop and implement action plans to resolve the issues.

To work as part of a group with other Team Leaders across the Trust to look at new ways of streamlining and improving administration teams as well as the introduction of innovative technologies

Participate in the process of recruitment and selection of new team members short-listing, interview staff.

To co-ordinate and manage Consultant annual leave requests.

Person Specification

Experience Essential

Excellent communication skills

Qualifications Essential

NVQ level III or equivalent experience in a similar NHS role

Desirable

Degree or equivalent experience
