Job Description Job Title: Assistant to Dean (Full Span, More than 500 Students) Reports To: Campus Dean School/Program: Odyssey Academy Primary Work Site: Campus as Assigned Calendar Days: 210 Pay Scale/Status: Paraprofessional Pay Scale (PCT5)/Non-Exempt Summary: Assist in organizing and managing the routine work activities of a school office and provide clerical services to the school dean and other staff members. Responsibilities and Duties:
• Assist the Campus Dean in the needs of running the business of the school and perform any duties as assigned by the Campus Dean.
• Promote good public relations by assisting students, teachers, and parents.
• Answer incoming calls, take reliable messages, and route to appropriate staff.
• Schedule meetings and appointments for the Campus Dean.
• Maintain confidentiality of information.
• Maintain a schedule of appointments and make travel arrangements for school staff.
• Originate, draft, distribute, file physical and computerized files, records and reports that are essential to the operation of the campus dean directed by the school dean.
• Review and process personnel time records including leave requests and reports for submission to Human Resources Department.
• Perform routine bookkeeping tasks, including simple mathematic operations, assist with the preparation of purchase orders and payment authorizations.
• Coordinate a variety of programs and/or activities for the purpose of ensuring availability of facilities and/or equipment.
• Attend any/all meetings as they pertain to student services software and/or PEIMS.
• Maintain a working knowledge of current PEIMS requirements and rules as related to registration, attendance and scheduling.
• Compile relevant data as needed when preparing various federal, state and local reports.
• Support campus staff in the use of the student information system.
• Support the school receptionist with receiving incoming calls, take reliable messages, and route to appropriate staff.
• Maintain inventory of supplies and materials for the school dean and other staff members.
• Monitor school copiers for supplies and repair. Replenish supplies and schedule repairs if needed

Qualifications: Education/Certification:
• High school diploma or GED
Knowledge/Skills/Abilities:
• Ability to work congenially with school administrators, instructional personnel, support staff members, and others
• Ability to perform a variety of duties concurrently
• Ability to maintain control in stressful situations
• Effective communication and interpersonal skills
• Small office environment and frequent interruptions
• Proficient skills in keyboarding, word processing, and file maintenance
• Basic math skills
• Ability to use personal computer and software to develop spreadsheets and databases and do word processing
• Bilingual preferred (English/Spanish)
Experience:
• Related experience, preferably in a public education environment preferred
