JOB TITLE: Business Office Secretary JOB DEFINITION: The Business Office Secretary provides comprehensive clerical and administrative support to ensure the efficient daily operations of the Business Office. This position serves as the first point of contact for internal and external inquiries, manages communications and records, and supports business, financial, and human resource functions. ESSENTIAL DUTIES AND RESPONSIBILITIES: Duties of this position include, but are not limited to:
• Respond to telephone inquiries and staff/public walk-ins for the Business Office, directing calls and individuals to the respective Business Office specialists.
• Receive and sort all incoming mail for the Schuylkill Intermediate Unit and Schuylkill Technology Centers.
• Maintain inventory of office supplies for the Business Office, including the copy room supplies, postage machine maintenance, etc.
• Perform secretarial tasks such as filing, photocopying, faxing, scanning, postage, maintaining Business Office files both hardcopy and electronic, etc.
• Assist with typing, editing and transmitting materials, letters, documents, reports, board items, and other associated activities developed and approved by the Business Office.
• Enters, maintains, and retrieves critical information and data for the business office.
• Assist with fulfilling auditor requests for the Business Office, including pulling files and re-filing.
• Maintain a record of signed contracts for the Business Office.
• Assist the Business Office in maintaining all Act 93 Compensation Plans, Support Staff Compensation Plans, Educational Support Personnel Contracts, IU Professional Contracts, STC Teacher Contracts, and any other bargaining unit contracts and negotiation files.
• Contact the appropriate technicians and maintenance personnel to repair problems regarding Business Office equipment, furniture, and fixtures.
• Assure the confidentiality of all Business Office records and information (including both verbal and written) encountered through the performance of all duties.
• Assist with Human Resource duties assigned.
• Enter Purchase Orders assigned.
• Perform all necessary duties and tasks assigned by the Business Office.
EDUCATION, EXPERIENCE, AND SKILLS REQUIRED:
• Minimum High School Diploma/GED or higher.
• Must be detail-oriented with solid project management skills, strong communication skills, excellent organizational skills, able to work effectively and interact positively with staff, proficient typing skills, computer experience and knowledge of Microsoft Office (MS Word, Excel, and Outlook).
• Confidentiality is a vital function of this position.
ADDITIONAL ELIGIBILITY QUALIFICATIONS:
• Current, approved Act 34 (PA State Police), Act 151 (PA Child Abuse Registry) and Act 114-FBI Fingerprint clearances are required and must be renewed at appropriate, specific intervals pursuant to Act 153 of 2014 (revised Act 15 of 2015).
• Current, approved Act 126 Mandated Reporter Training certificate showing completion of a minimum of three (3) hours of training every five (5) years.

METHOD OF EVALUATION:
• Performance of the job will be evaluated annually by the Business Manager per the provisions of the Board's Policy on evaluation of personnel.

• None
TERMS OF EMPLOYMENT:
• This is a full-time position based on 1,800 hours, a 12-month work schedule. This includes vacation, sick, and personal time off. The specific work hours, daily schedule, and work year shall align with those established for the employee representative group as outlined in the applicable agreement or administrative guidelines. Adjustments to the work schedule may occasionally be required to meet program or organizational needs. Attendance at work is a requirement of this position; any and all absences must be approved by the immediate supervisor.
