Funding This position is locally funded.
Consideration for directly related experience supported by an official service record or experience affidavit. Annualized pay may be pro-rated based on actual start date.
Position Summary Responsible for maintaining student academic records at the campus level under minimal supervision. Process student enrollment, transfers, and withdrawals for the campus. Minimum Requirements
• High school diploma or GED equivalent recognized by the Texas Education Agency or a regional accrediting agency.
• Must have satisfactory outcome of fingerprinting background check.
Preferred Qualifications
• Three (3) years of clerical experience.
• Ability to communicate effectively in both English and Spanish.
Knowledge, Skills, and Abilities
• Proficient in Google Drive and Google programs (Docs, Sheets, Forms, and Slides).
• Knowledge of general office procedures.
• Ability to maintain accurate and auditable records
• Proficient keyboarding and file maintenance.
• Ability to follow verbal and written instructions.
• Ability to meet established deadlines.
• Excellent organizational, communication, and interpersonal skills.
• Knowledge of grade reporting process, including verification of grades and report cards.
• Ability to perform a variety of tasks often changing assignment on short notice with some direction.
Essential Functions/Key Responsibilities
• Maintain student academic records and process requests for information and transcripts. Process new student records, including requesting transcripts and records from other schools.
• Prepare and distribute University Scholastic League (UIL) eligibility lists (if applicable).
• Calculate grade point averages, class rank, and prepare honor roll (if applicable).
• Assist with enrollment, withdrawals, and transfer of students.
• Assist campus administration and counselors with the preparation of reports and student data information.
• Compile, maintain, and file all reports, records and other documents as required.
• Coordinate the ordering and distribution of all graduate materials, including caps and gowns and diplomas (if applicable).
• Comply with policies established by federal and state law, State Board of Education rule, and board policy.
• Comply with all district routines and regulations.
• Daily attendance at work and punctuality are essential functions of the job.
• Maintain confidentiality.
• Perform other duties as assigned.
Supervisory Responsibilities None. Working Conditions Tools/Equipment Used: Standard office equipment including personal computer and peripherals. Posture: Frequent walking, Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting. Motion: Repetitive hand motions including frequent keyboarding and use of mouse. Occasional reaching. Lifting: Occasional light lifting and carrying (less than 15 pounds). Environment: Work inside, may work outside; regular exposure to noise. Mental Demands: Maintain emotional control under stress; work with frequent interruptions and prolonged or irregular hours.
