About this role
Position Overview: This is a 20-hour-per-week, part-time position responsible for performing secretarial, clerical, and administrative support duties for the Food Service Department. Essential Job Functions:Attend and pass all required ODE CNP trainings to obtain the necessary Training Certifications for the position.
• Work with Supervisor to assure accuracy of the meal, reimbursement and other reports being submitted to ODE.
• Perform clerical duties such as filing, reporting, tracking, creating requisitions, checking invoices.
• Routine duties such as answering phones, greeting visitors, typing correspondence and answering email intake of food and supplies.
• Maintain food and inventory on the computer.
• Complete needed reports for ODE.
• Create and disburse PO's, checking packing slips for completion of orders and print reports from iVisions and or Excel.
• Help mentor and train new FS employees in proper meal reimbursements and paperwork.
• Help train FS substitutes on proper meal reimbursements and requirements.
• Maintain an accounting of staff absences and substitutes.
• Maintain a master schedule of activities occurring in each building.
• Arrange substitutes for staff as needed.
• Other duties as assigned by supervisor.
Other Job Functions:
• Proficient in keyboarding/computer skills
• Proficient in Excel
• Handle incoming and outgoing mail
• Prepare weekly and monthly reports
Qualifications: Knowledge of:
• Office practices and procedures with ability to use computers & standard office machines.
• Word programming programs such as Excel, Word, etc.
• Filing and record-keeping.
• Organizational skills.
Ability to:
• Work harmoniously with children and other employees and deal tactfully with the public.
• Maintain confidentiality.
• Take direction and work to achieve goals set by others.
• Perform recurring duties without specific directions and complete new tasks with minimum supervision.
• Maintain regular attendance.
Experience:
• One year of secretarial/office practices experience is preferred.
• Proficient in word processing, spreadsheets preferred.
License:
• Oregon Driver's License
• Food Handler's card
