About this role

Position Summary The Educational Assistant – Special Education Case Management Assistant (CMA) provides clerical, organizational, compliance, and instructional support to the District's Special Education Program. The primary responsibility of this position is supporting Special Education case management, compliance, records management, and program operations. The position assists licensed special education staff and administrators with case management activities, maintenance of confidential student records, scheduling, data collection, progress monitoring documentation, meeting coordination, and compliance requirements under District policy and applicable state and federal law. In addition to case management responsibilities, the position may provide instructional assistance, health room coverage, medication support, first aid, student supervision, and other Educational Assistant duties as assigned. Essential Functions Essential Functions of this position include the following. Employees in this position perform some or all of the following tasks. Other duties may be assigned.

• Maintains confidential Special Education records and files in compliance with District policy, IDEA, Section 504, FERPA, Oregon Department of Education requirements, and applicable state and federal laws.

• Assists licensed staff and administrators with Special Education case management activities. Organizes, maintains, audits, and updates student records and electronic databases to ensure compliance and accuracy.

• Assists with preparation, distribution, collection, filing, and retention of IEPs, evaluation reports, notices, consent forms, progress reports, service logs, and related documentation.

• Monitors timelines and assists with tracking annual reviews, evaluations, reevaluations, and compliance deadlines.

• Schedules and coordinates IEP, eligibility, manifestation determination, evaluation, and other Special Programs meetings.

• Maintains Special Education calendars and assists with scheduling service providers and student services.

• Prepares reports, correspondence, forms, records, and data required for District, state, and federal reporting.

• Maintains confidentiality of student, family, personnel, and District information.

• Provides health room coverage as assigned.

• Administers medications and performs delegated health-related tasks in accordance with District policy and applicable law.

• Evaluates student injuries, provides basic first aid, and completes required documentation.

• Provides instructional assistance to students individually and in small groups.

• Assists in implementing IEP goals, accommodations, modifications, and behavior supports.

• Assists students with academic, behavioral, social-emotional, and functional skill development.

• Assists with progress monitoring and data collection.

• Supervises students in classrooms, common areas, field trips, and other school settings.

• Assists students with personal care needs as required.

• Maintains positive interactions with students, parents, staff, and community members.

• Attends work regularly and performs other duties as assigned.

Minimum Qualifications Education/Experience:

• Associates degree or higher (attach diploma); OR

• Completion of two years post-secondary study consisting of 72 credit hours, 48 semester units (attach transcripts); OR

• High school diploma or General Education Diploma (GED) AND

• Minimum of at least one-year related experience and/or training.

• Meet a rigorous standard of quality, and can demonstrate, through a formal state or local academic assessment or para-professional certificate program.

Certificates, Licenses, Registration & Other Requirements:

• Ability to obtain and hold a First Aid/CPR card and pass SafeSchools training modules as assigned

• Criminal Justice Fingerprint/Background Clearance

Desired Qualifications

• Related experience in an educational setting.

Knowledge, Skills & Abilities (May be acquired through education, training, and/or experience.) Knowledge of: District policies and procedures; modern office practices and procedures; letter writing, correct language usage; receptionist, telephone and record keeping/filing systems; computer hardware and software programs and their usage; modern office equipment; safety and first aid practices and procedures. Skills to: Apply student de-escalation strategies in a variety of unique situations and environments; transition smoothly from one task to another, through multiple environments within a school day. Ability to: Understand and apply District and school policies and procedures; maintain appropriate appearance and attire; maintain regular and acceptable attendance and punctuality, as set forth in Board policy; greet stakeholders; provide information pertaining to area and/or District/School policies, procedures and other pertinent information; operate maintain and arrange for repair various office/school equipment; establish and maintain cooperative working relationships with those contacted during the course of work and from diverse backgrounds; interacts thoughtfully and courteously with students, staff, parents, and community members and resolves conflict in a professional manner; maintain records; utilize keyboarding skills commensurate with the required functions for this position; communicate effectively both orally and in writing; utilize appropriate grammar and spelling when corresponding, make mathematical calculations accurately; follow oral and written instructions; practice cultural competency and demonstrate respect for diversity. Work Direction, Lead & Supervisory Responsibilities No assigned permanent staff to supervise. May train and provide work directions, as directed by supervisor, to appropriate staff and volunteers. Physical Effort While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to walk, stand, sit, use hands for fine manipulation, handle or feel and reach with hands and arms. The employee is occasionally required to stoop, kneel, crouch or crawl. The employee must regularly lift and/or move 25 pounds and occasionally maneuver up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, ability to adjust focus and peripheral vision. Working Conditions Normal bus/van/school environment. The employee may be exposed to bodily fluids, bloodborne pathogens, sick and/or contagious students. The employee may be exposed to toxic chemicals (for disinfecting) and outdoor weather conditions.
