The State College Area School District is searching for a Secretary at the State College Area High School. This position works with students, parents, and visitors. Responsibilities include the management of the administrator's calendar and meeting schedule; all school-related budget processes; coordination of building communications; and, management of difficult situations with skill, patience, and diplomacy. The ideal individual will have the ability to exercise good judgment in a variety of situations; demonstrate a commitment to diversity; demonstrate strong written and verbal communication, customer service, administrative, and organizational skills; and have the ability to maintain a realistic balance among multiple priorities. The successful candidate will have the ability to work independently on projects and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. Must be able to work independently as well as within a team. Experience in a secretarial, accounting, or administrative assistant position is required. Experience in public education and/or completion of an accredited secretarial and/or accounting training program is preferred. PRIMARY DUTIES AND RESPONSIBILITIES:
• Perform clerical duties including but not limited to answering the phone, screening and directing visitors, opening and distributing mail; scheduling appointments/interviews; typing correspondence, evaluations, meeting agendas.
• Schedule all professional evaluation meetings.
• Issue passes for late excused and unexcused students, early dismissals, educational trips and buses daily. Issue bus visitor pass requests.
• Enter and maintain accurate raw student attendance data daily.
• Collaborate with teachers and administrators to manage parental requests for educational trips.
• Maintain accurate attendance records for students with alternate assignments as needed.
• Work with the Assistant Principal in preparing reports, sending first offense and second offense letters as needed. Scheduling SAIPs, preparing SAIP paperwork.
• Preparing student progress, discipline, and attendance data for court.
• Contact parents regarding initial absences and share attendance processes; collect excuses from parents and students daily and enter written excuses from parents for student absences. Cross reference PowerSchool for attendance.
• Maintain an organized filing system for all student attendance issues and maintain the attendance records.
• Schedule 504 meetings for administrators. For initial meetings, send out permission to evaluate forms to parent(s) and teacher feedback forms.
• Prepare and finalize 504 documents.
• Attend and participate in all required meetings and trainings.
• Perform other duties as assigned.
The minimum pay rate for this position is $20.50 per hour. Grade C; 7.5 Hours/day; 200 Days/year The State College Area School District is an Equal Opportunity Employer.
