About this role
PRIMARY PURPOSE: Maintain accurate attendance records for the campus. Under direct supervision, perform data entry for attendance. QUALIFICATIONS/EDUCATION: Education/Certification: High school diploma or GED Special Knowledge/Skills: Ability to use personal computer and software to develop spreadsheets and databases, and do word processing Proficient keyboarding, file maintenance, and 10-key skills Ability to meet established deadlines Knowledge of Sungard System, preferred Experience: Two years data entry experience MAJOR RESPONSIBILITIES AND DUTIES:
• Collect and enter attendance data into established database and verify accuracy of according to established procedures.
• Maintain attendance records for the students on the campus, ensuring files are ready for auditing.
• Compile and report bi-monthly attendance records to Central Administration
• Complete Quarterly reports for in-eligible students and transfer students.
• Supervise student office assistant, if applicable.
• Maintain and update computer records of absences, tardies and permits to leave campus. Giving copies to the Assistant Principals and At-Risk Counselors.
• Take and initiate phone calls that pertain to any attendance matters including calling parents to verify student absences as needed.
• Input daily teacher attendance corrections, student suspension notices, and attendance scantron sheets. Posting all data entry to the Master files.
• Run daily attendance reports for substitutes.
• Generate a daily balance and breakdown report to the At-Risk Counselor/Aide in the balancing of the entire school.
• Generate warning letters to all students incurring more than three absences.
• Report student attendance records to the Department of Health and Human Services and the Kingsville Police Department.
• Generate daily at-risk counselor/aide letters to be sent to all parents concerning their court appointments due to their child's absences.
• Compile a report listing of all students who were sent attendance letters.
• Issue permits to leave campus.
• Maintain all tardy class admittance slips and submit copies to the Assistant Principals and the At-Risk Counselor/Aide.
• Report all attendance problems to designated administrator.
• Issue a summary list of attendance upon request and at the end of each term and prepare them for the attendance committee petition meeting.
• Assist in campus office as needed.
• Maintain confidentiality.
• Perform other duties and functions as assigned.
EQUIPMENT USED: Personal computer or online computer terminal, printer, calculator, and copier. WORKING CONDITIONS: Mental Demands/Physical Demands/Environmental Factors: Repetitive hand motions; prolonged use of computer. Maintain emotional control under stress. Frequent standing, stooping, bending, kneeling, pushing, and pulling; regular moderate lifting. Biological exposure to bacteria and communicable diseases.
