Are you a highly organized administrator with a passion for leadership and operational excellence? We are seeking a dynamic and motivated individual to join our Genetics Laboratory as a Departmental Personal Assistant/Admin Team Management Support

This is a key hybrid role within our busy service. Alongside providing high-level PA support to the department's senior leadership and wider lab, you will play a vital, hands-on role in the daily function of our administrative team. This includes holding direct line management responsibility for our Band 2 and Band 3 administrative staff, ensuring a supportive environment and smooth daily workflows.

Main duties of the job The post holder will be accountable for the provision of a comprehensive personal assistant service the head of department and senior management group within Genetics.. This will include secretarial activities for example word processing, electronic filing systems, diary management etc, but will also include developing, maintaining and managing office and information systems in support of the department. The post holder will play a key role in preparing agenda, taking, transcribing and distributing minutes, organising follow up action and ensuring an effective bring forward/briefing system in respect of key documentation required. The post holder will be Expected to to support the Genetics service in delivering required administrative and organisational tasks.

Job Summary Key Responsibilities

PA Support: Manage complex diaries, correspondence, and administrative support for departmental leadership.

Line Management: Provide leadership, guidance, and direct line management (including appraisals, 1-to-1s, and workload management) for Band 2 and Band 3 administrative team members.

Collaborative Leadership: Work closely alongside the Admin Team Manager to ensure cohesive, efficient team operations.

Delegated Duties: Support the Patient Services Coordinator (PSC) by taking on delegated operational tasks and projects to help drive the service forward.

Team Function: Act as a central link between departmental management and the frontline clerical team, maintaining high standards of service delivery.

About You The successful candidate will have excellent communication skills, a proactive attitude, and previous experience in a supervisory or line-management role. You should be comfortable managing competing priorities and balancing sensitive PA duties with the active, day-to-day coordination of a busy administrative team.

The successful candidate will need to work in a fast-paced environment, completing work at short notice and to tight deadlines. The post holder must have a good standard of basic education including written and spoken English. The successful candidate will need to have a good telephone manner and basic computer literacy. Previous experience of working in a hospital environment or busy customer focused department would be an advantage but is not essential, as full training will be provided.

The post holder will be required to work 37.5 hours per week full-time and contribute to out-of-hours rotas including weekends and bank holidays as required.
