Job summary
We are recruiting a part time receptionist to join our team to provide reception services to patients by telephone, in person and online.
Part -time 26.5 hpw
Surgery opening hours- 7:30am until 8:00pm
Main duties of the job
To be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team. Duties can include, but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, the processing of information and assisting patients as required.
To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multi-disciplinary team members and external agencies such as secondary care and community service providers.
About us
Jubilee Medical Centre is a very busy and friendly practice in Croxteth with approximately 10,300 patients. We have a variety of clinicians including, GPs, Advanced Nurse Practitioners, Practice Nurses, Nurse associates, a chaplain and a Pharmacy team. We currently have a team of 10 receptionists who are supported by our experienced management team.

Primary key responsibilities
The following are the core responsibilities of the Receptionist. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:
Maintain and monitor the practice appointment systemProcess personal, telephone and e-requests for appointmentsAnswer incoming phone calls, transferring calls or dealing with the callers request appropriatelySignpost patients to the correct serviceInitiating contact with and responding to, requests from patients, team members and external agenciesClinically code data on Emis WebPhotocopy documentation as requiredData entry of new and temporary registrations and relevant patient information as requiredInput data into patients healthcare records as necessaryDirect requests for information, i.e., SAR, insurance/solicitors letters and DVLA forms to the administration team.Manage all queries as necessary in an efficient mannerCarry out system searches as requestedMaintain a clean, tidy, effective working area at all timesMonitor and maintain the reception area and notice boardsSupport all clinical staff with general tasks as requestedSecondary responsibilities
In addition to the primary responsibilities, the Receptionist may be requested to:
Partake in audit as directed by the audit leadSupport administrative staff, providing cover during staff absencesAction incoming emails and correspondence as necessaryScan patient related documentation and attach scanned documents to patients healthcare recordsComplete opening and closing procedures in accordance with the duty rotaAs required support the pharmacy team in the management of repeat prescriptions, ensuring they are processed accurately and efficientlyIdentify and provide team training where requiredSupport the health promotion lead and display promotional material on the allocated noticed boards and in the waiting room
Person Specification
Experience Essential
Dealing with members of the public at the front desk and on the telephone.
Desirable
Previous medical receptionist experience. Experience of dealing with difficult customers. Knowledge and use of Emis Web
Qualifications Essential
Good standard of education (e.g. 5 GCSE grades A-C)
Desirable
GCSE Mathematics and English (C or above) AMSPAR Receptionist Qualification NVQ Level 2 in Health and Social Care Customer Service
