Job summary

Forest Medical is a busy, forward-thinking GP practice serving the Mansfield community from two sites. We are committed to providing high-quality patient care and are seeking a motivated and organised Workflow Administrator to join our friendly and supportive team.

Main duties of the job

Process incoming clinical correspondence, including hospital letters, reports and other patient-related documentation.Review and accurately code clinical information onto patient records in accordance with practice protocols.Forward correspondence to the appropriate clinician or team member for action.Manage electronic workflow systems to ensure documents are processed within agreed timescales.Identify urgent information and escalate appropriately.Maintain confidentiality and comply with data protection legislation and NHS information governance requirements.Support the wider administration team as required.Contribute to the continuous improvement of administrative processes.

Job description Job responsibilities

Main Duties and ResponsibilitiesWorkflow ManagementProcess incoming clinical correspondence, including hospital letters, discharge summaries, pathology reports and other patient-related documentation.Review and accurately assign documents to the appropriate clinician or team member.Identify urgent correspondence and escalate promptly in accordance with practice protocols.Ensure all workflow tasks are completed within agreed timescales.Monitor workflow queues and prioritise work effectively.Patient RecordsMaintain accurate and up-to-date electronic patient records.Enter clinical information onto records in accordance with practice protocols.Support the quality and integrity of patient data.Ensure all documentation is filed correctly within the clinical system.Administrative SupportProvide administrative support to clinicians and the wider practice team.Assist with the processing and management of patient information requests.Support practice projects and service improvements as required.Undertake any other reasonable administrative duties appropriate to the role.Information GovernanceMaintain strict confidentiality regarding patient and practice information.Comply with GDPR, Data Protection legislation and NHS Information Governance requirements.Follow all practice policies and procedures relating to information security and confidentiality.GeneralWork collaboratively as part of the wider practice team.Participate in training and development activities.Contribute to the continuous improvement of practice processes and patient services.Demonstrate a professional and courteous manner at all times.

Personal Qualities Essential

Personal Qualities Reliable and dependable. Positive and flexible approach to work. Strong problem-solving skills. Commitment to providing excellent patient service. Willingness to learn and embrace new ways of working.

Experience Essential

Previous administration experience. Excellent attention to detail and accuracy. Strong organisational and time management skills. Good IT skills, including Microsoft Office applications. Ability to prioritise workload and meet deadlines. Excellent communication and interpersonal skills. Ability to maintain confidentiality and professionalism. Ability to work independently and as part of a team

Desirable

Experience working within a GP practice, NHS or healthcare environment. Knowledge of SystmOne. Understanding of clinical correspondence workflows. Knowledge of medical terminology. Experience of clinical coding.
