Job summary
We are looking for a professional, organised, and customer-focused Administrator/Receptionist to support our Physiotherapy department. In this role, you'll be the first point of contact for patients, visitors, and colleagues, providing exceptional reception and administrative support to ensure the smooth day-to-day running of the department.
Main duties of the job
Deliver a professional, friendly, and efficient reception and administrative service for the Physiotherapy department.
Provide excellent customer service to patients, visitors, consultants, and colleagues, ensuring a positive experience.
Manage telephone, email, and voicemail enquiries promptly, accurately, and confidentially.
Process referrals from internal and external sources and coordinate onward referrals where required.
Maintain accurate patient records using the hospital's Patient Information System.
Ensure patient information is handled securely and in line with confidentiality and information governance standards.
Provide administrative support to ensure the smooth day-to-day running of the department.
Participate in training and maintain a proactive, professional approach to all aspects of the role.
Work flexibly to support departmental cover and changing service needs.

As an Administrator/Receptionist for the Physiotherapy department, you will:
Provide a first class and effective service to patients, visitors, consultants, team colleagues and all internaldepartments.Provide professional administration cover to enable the smooth running of the department or clinic.Deal with inbound telephone and email enquiries and process as necessary, ensuring messages are passed correctly and confidentially. Ensure that any voicemail messages are dealt with, and calls returned on the same working day.Deal with referrals from external and internal referrers, both hard and soft copy, and via referrers portals.Process referrals to other areas of the hospital where required.Work confidently with the Hospitals Patient Information System.Always maintain confidentiality of patient information and adhere strictly to all information governancerequirements.Participate in training activities as required.Maintain the highest level of professionalism and courtesy patients and visitors and always meet and greet everyone with a positive and professional attitude.Demonstrate the highest level of customer service, ensuring an excellent patient experience and resolving any issues swiftly, suitably and knowledgably.Have a proactive and forward-thinking approach to your role.Be flexible with your availability, helping to ensure that suitable cover is provided to various departments.
Person Specification
Qualifications Essential
- Maths and English GCSE - Ability to work on own initiative and under pressure - Evidence of experience of working and contributing to a team - Proven ability to manage own workload and prioritise when there are competing priorities - Relevant experience of working in an Administration environment - Experience of being in a customer-facing role - Confidentiality - Strong IT skills - Excellent customer service skills and the understanding of how this benefits the business - Excellent communication skills, both verbal and written.
Desirable
- Experience of the Healthcare Industry - Proven ability to communicate with a wide range of internal and external stakeholders including patients, staff-members, visitors, suppliers & environmental health.
