Job summary

We are seeking an experienced, motivated, and forward-thinking Practice Manager to join our friendly and dedicated GP practice based in Mill Road, Cambridge.

This is an exciting opportunity to lead the day-to-day operations of a well-established practice working across two sites, both of which offer on-site parking.

Working 25 to 28 hours over 5 days (hours to be agreed).

About the Role

As Practice Manager, you will be responsible for the overall operational, financial, and strategic management of the practice. You will work closely with the GP partners, clinical team, and administrative staff to ensure the delivery of high-quality, patient-centred care while maintaining an efficient and supportive working environment.

Main duties of the job

The following are the core responsibilities of the Practice Manager. There may be, on occasion, a requirement to carry out other tasks. This will depend on factors such as workload and staffing levels.

Key Responsibilities

Provide leadership across both practice sites. Manage and support a multidisciplinary team, promoting a positive and inclusive workplace culture. Oversee finance, budgeting, contracts, and business planning. Ensure compliance with NHS regulations, CQC standards, and employment legislation. Lead quality improvement initiatives and service development. Manage premises, IT systems, and practice resources. Build and maintain strong relationships with patients, staff, the Primary Care Network, and external stakeholders. About You

Have previous management experience within primary care, healthcare, or a similar regulated environment. Demonstrate excellent leadership, organisational, and communication skills. Job description Job responsibilities

The Practice Manager is responsible for

Strategic

Drafting the practice plan and mission statement

Financial forecasting, budget setting and monitoring

Point of contact for ICB and PCN (and other external organisations)

Representing the practice at external meetings

Producing business cases and cost benefit analysis on ad hoc basis

Review policy and protocols

Annual patient survey results and distribution

Partnership agreements/disputes

HR and Staffing

To work with the Operations Manager:

recruitment including clinical, advertising, shortlisting, interviewing and offer (following the safe recruitment policy)

staff HR processes, including pre-employment checks, induction, mandatory training, holiday planning and return to work interviews

review the Staff Handbook with the Operations Manager

staff appraisals, clinical and non-clinical

HR risk assessments

Leading on disciplinary and grievance procedures

Meetings

Schedule all business and partner meetings

Take minutes, distribute actions and monitor

To be aware of all other meetings and support the Operations Manager

Quality Indicators

PPA, Personally Administered Items or Personally Administered Drugs and Appliances (PADM) claims

Finance

To work with the Finance Officer:

invoices and remittance advice (checks and confirmation)

contracts for services

end of year submission to the accountants and queries

Compile data for monthly finance meeting

Review partners drawings

To work with the Operations Manager:

Managing petty cash across the two sites

To work with the accountants:

Partners tax returns

NHS Pension Scheme

Health and Safety

Practice lead for health and safety

Risk assessments and testing, safe water, PAT and boiler checks

Monthly health and safety checks and actions

Routine maintenance including cleaners and infection control

Equipment

Annual calibration of equipment

Ordering of clinical equipment and supplies

Ordering of non-clinical equipment and supplies

CQC

Monitoring and compliance

To create an action plan (RAG rated) with timeline

Complaints and Significant/Learning events

Complaints received at the practice (addressed in accordance with Complaints Policy)

Significant and Learning events when raised

Regular review of complaints and significant/learning events

PCN reporting

In addition to the primary responsibilities, the Practice Manager may be requested to:

Deputise for the Partners at internal and external meetings

Partake in audit as requested by the audit lead

Personal development

The postholder will be expected to:

Manage their own time effectively, and plan and meet personal and practice targets

Manage their own personal development through reflection and feedback from GP Partners and colleagues

Ensure that personal training needs are identified and met

Other terms

Probationary period

There will be a six-month period of mutual assessment, during which time the period of notice will be one month for both the surgery and the candidate.

Notice period

Once the probationary period has been completed, there will be a three-month period of notice on either side to terminate the employment.

Annual leave and Continued Professional Development

Annual leave entitlement will be six weeks plus statutory public holidays pro rata for part time working. Time off to attend relevant training courses and updates will be approved in advance with the agreement of the partners.

Hours of work

This is a senior salaried role. 25 to 28 hours per week over 5 days a week, (hours and working pattern to be agreed by the partners, prior to starting), although the postholder is expected to work flexibly to fulfil the duties of the role.

Pension scheme

Entrance into the NHS Pension Scheme is automatic unless the postholder selects to opt out of the scheme. This is a contributory scheme by both employee and employer. There is no alternative scheme available, unless you have retired from the NHS Pension Scheme, in which case you can join an alternative provider.

Qualifications Essential

Good standard of education with excellent literacy and numeracy skills Primary Care qualification or equivalent experience
