Job summary
The Operations Manager is responsible for the day-to-day operational management of the Practice, ensuring safe, efficient, compliant and patient-focused service delivery. The postholder will lead non-clinical operational teams, oversee service performance, manage premises and facilities, support workforce management and drive continuous improvement across the organisation.
Main duties of the job Working closely with the Practice Manager, Assistant Practice Manager, Reception Lead and clinical leadership team, the Operations Manager will translate strategic objectives into effective operational delivery.

Operational Management
Lead the day-to-day operational running of the Practice.Monitor operational performance, patient access and service delivery.Manage capacity planning and resource allocation.Develop and implement operational procedures and working practices.Lead operational improvement and transformation projects.Coordinate business continuity planning and testing.Produce and analyse operational performance reports.
Leadership and Workforce Management
Line manage the Reception Lead and designated operational staff.Manage day-to-day staffing issues and performance concerns.Monitor sickness absence and attendance.Support recruitment and selection processes.Identify operational training and development needs.Promote a positive, accountable and high-performing culture.
Patient Services and Complaints
Lead operational delivery of patient services.Monitor appointment utilisation and access performance.Investigate operational complaints and prepare responses.Analyse trends and implement service improvements.Support delivery of an excellent patient experience.
Governance, Compliance and Risk
Act as operational lead for Health & Safety.Coordinate risk assessments and incident investigations.Support CQC compliance and regulatory readiness.Monitor operational audits and completion of actions.Ensure operational compliance with Practice policies and procedures.
IT, Premises and Facilities
Lead implementation and optimisation of operational systems.Manage premises maintenance, contractors and facilities services.Oversee operational purchasing within delegated budgets.Support digital innovation and process improvement.Ensure the Practice environment remains safe and fit for purpose.
Communication and Partnership Working
Work collaboratively with clinicians, managers and external stakeholders.Attend and contribute to management meetings.Support effective communication across teams.Represent the Practice professionally when required.
Person Specification
Experience Essential
Proven experience managing teams in a complex operational environment. Strong people management and leadership skills. Experience managing performance, attendance and operational issues. Excellent organisational and prioritisation skills. Ability to analyse data and drive service improvements. Strong communication and interpersonal skills. Ability to make sound decisions and solve problems effectively. Confident use of Microsoft Office and business systems. Ability to remain calm and effective under pressure.
Desirable
Experience within primary care, healthcare or the NHS. Knowledge of CQC requirements and healthcare governance. Experience managing premises, facilities or Health & Safety. Project management or service improvement experience. Understanding of GP contractual and operational requirements.
