Job summary

Are you an experienced administrator seeking a role in mental health?

A part time vacancy has arisen for 19.5 hours per week (Fixed Term for 1 Year) to provide administration support to the teams within the Child & Adolescent Mental Health Service based at Temple House, Keynsham.

This important role involves typing letters and reports to referrers and clients, and keeping records up to date on the patient database. The post holder will work in our busy reception, including answering the phone, and have contact with service users, parent(s)/carer(s) and professionals.

Main duties of the job

To provide an efficient and effective comprehensive administrative support to the team/service. Provide a polite and efficient reception service to patients and visitors. To accurately type and distribute letters and other documents as required. Arrange and provide admin support for meetings including minute/note taking. To respond to email, telephone enquiries and written enquiries using a high level of initiative and responding in a confidential and sensitive way and action in the appropriate way. To update patient records as required and ensure that the Trust's databases are up to date and all clinical data is entered appropriately. Record and pay patient travel expenses when appropriate according to Trust policies.

Person Specification

Knowledge Essential

Excellent computer skills with good knowledge and experience of Microsoft Word, Outlook, Excel and MS Teams

Desirable

Safeguarding knowledge of mental health issues Understanding of Data Protection/Information Governance

Qualifications Essential

Educated to GCSE Level or equivalent, including English and Maths, Grade C or above

Desirable

RSA in typing or similar, or previous experience of general administrative functions

Skills Essential

Good interpersonal skills, face to face and telephone manner Understanding of the need for confidentiality Able to work under limited supervision

Desirable

Ability to produce good quality correspondence and reports

Experience Essential

Experience of working in an office environment, including telephone contact with both clients and professionals Previous experience of working in a reception or client facing role

Experience of using healthcare patient record systems e.g. RiO Previous NHS experience Experience of working in healthcare administration or public sector administration
