*Office Assistant / Administrative Assistant*
We are seeking a reliable, organized, and detail-oriented *Office Assistant* to join our growing construction team. The successful candidate will play a key role in supporting daily office operations, maintaining accurate records, assisting with project administration, and ensuring efficient communication between the office, clients, suppliers, and project teams.
Responsibilities
* Perform general office duties including data entry, filing, scanning, photocopying, and document management. * Answer phone calls, respond to emails, and assist clients, suppliers, and subcontractors with inquiries. * Maintain and update computerized records, databases, and filing systems. * Schedule appointments, meetings, and coordinate calendars. * Prepare, organize, and process invoices, purchase orders, work orders, and project documentation. * Assist with bookkeeping tasks including accounts payable, accounts receivable, and invoice tracking using *QuickBooks*. * Support construction project managers with administrative tasks, project tracking, scheduling, and document control. * Coordinate with subcontractors, suppliers, and clients to ensure timely communication and project documentation. * Prepare reports, spreadsheets, and correspondence using Microsoft Office and Google Workspace. * Maintain office supplies and assist with other administrative duties as required.
Qualifications & Requirements
* Previous experience in an office administration or administrative assistant role is preferred. * Experience working in the *construction industry* is considered a strong asset. * Proficiency in *QuickBooks* for bookkeeping and invoice management. * Strong working knowledge of *Microsoft Office* (Word, Excel, Outlook) and *Google Workspace* (Docs, Sheets, Drive). * Excellent organizational skills with exceptional attention to detail. * Strong written and verbal communication skills. * Ability to multitask, prioritize, and work efficiently in a fast-paced environment. * Ability to work independently while also collaborating effectively with a team. * Experience with construction documentation, purchase orders, change orders, contracts, and project administration is an asset. * Professional, dependable, and customer-service oriented.
