Job summary

We are part of Suffolk Primary Care, which is a group of GP practices delivering patient care across Suffolk. We have an amazing opportunity for someone wanting to look at taking on an Apprenticeship role as Administrator and Receptionist. You will complete the Business Administrator Level 3 course alongside working.

The vacancy is full time Monday to Friday 0800-1600 with time allocated for study within the apprenticeship course.

Howard House Surgery supports in excess of 8500 patients from a diverse range of backgrounds. We have an established team with a strong focus on customer service and on developing staff in order to deliver excellent standards of patient care. We would love to hear from candidates with excellent IT skills and both written and verbal communication. We are keen to hear from those that can show flexibility and a range of transferable skills.

We use SystmOne and askmyGP to facilitate effective and efficient ways of working.

You should be able to work calmly and professionally as part of a team, with the ability to multi-task. A strong command of written and spoken English with an excellent telephone manner is a must. Good time management skills and the ability to follow protocols and/or instruction and attention to detail is essential.

Main duties of the job

The main responsibilities of the post holder will be to ensure timely, accurate and consistent recording of the clinical information onto the surgery computer system. You will also be expected to receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient manner. Working as part of a team, the post holder will be responsible for scanning, forwarding and coding clinical correspondence, as well as booking and contacting patients through our online portal, over the phone, or face to face. The Administrator role is to take responsibility for administrative aspects of the practice. They are responsible for various administrative duties and accountable to the Department Leads and Practice Operations Manager.

As part of this role you will be required to complete the apprenticeship course and any necessary online or face to face training.

Job description Job responsibilities

The apprenticeship administrator and receptionist will be the first point of call for patients contacting the surgery. You will need to be proactive and able to prioritise your workload to manage the workload effectively. You will work as part of a team ensuring patients are supported effectively and efficiently. You will need to ensure accurate documentation is kept within clinical records and remain polite and professional at all times.

You will need to be able to manage your apprenticeship workload alongside working within the role and keep up to date with training and assessments.

Qualifications Essential

- Educated to GCSE level (or equivalent) including Grade 4 in English & Maths or willingness to study alongside apprenticeship - Ability to complete the level 3 Business Administrator Apprenticeship
