Job summary
Are you organised, detail-focused and passionate about supporting excellent patient care? We are looking for a Prescription and Medicines Monitoring Administrator to join our friendly practice team. This is a varied and rewarding role that is central to ensuring patients receive their medications safely, accurately and on time.
Working closely with GPs and the wider practice team, you will be responsible for processing repeat prescription requests, supporting medication reviews and carrying out monitoring audits for high-risk and shared care medicines. Your work will play an important part in maintaining patient safety and helping the practice deliver high-quality clinical care.
This position is ideal for someone who enjoys working with detailed information, has strong administrative and communication skills, and is confident managing their workload independently. Previous experience in a healthcare, pharmacy or GP practice environment would be beneficial, although full support and training will be provided.

Permanent contracted hours are 19 hours 20 minutes per week, plus an additional 6 hours fixed term, bringing the total to 25 hours 20 minutes per week.
The successful candidate will be required to provide annual leave and absence cover, working additional hours across Monday to Friday when required (approximately six weeks per year).

Key responsibilities include processing repeat prescription requests, liaising with patients regarding prescription enquiries, and preparing prescriptions for GP authorisation.
The role also involves carrying out high-risk drug and shared care medication monitoring audits, checking that patients have completed any required blood tests, blood pressure checks or other monitoring before medication is issued. You will maintain monitoring records, support non-compliance processes, contact patients when reviews or monitoring are due, and ensure medication-related information is accurately recorded on clinical systems.
Working collaboratively with clinicians and administrative colleagues, you will help ensure prescribing processes run efficiently while delivering excellent patient service and maintaining confidentiality at all times.

We are seeking a reliable and organised Prescription and Medicines Monitoring Administrator to support the safe and effective management of repeat prescribing within the practice. The role involves processing repeat prescription requests, assisting with medicines monitoring, and ensuring patients receive appropriate reviews and monitoring before medications are issued.
Main Duties and ResponsibilitiesProcess patient requests for repeat prescriptions received electronically, in writing or verbally.Prepare prescriptions for GP authorisation.Accurately update and maintain patient records relating to prescription issues.Refer incomplete or inappropriate prescription requests to the relevant GP.Act as a point of contact for patient enquiries relating to repeat prescriptions.Liaise with patients regarding prescription queries and expected delays.Monitor uncollected prescriptions and highlight concerns to clinicians.Support medication review processes and ensure reviews are booked when due.Monitor compliance with the Practice Repeat Prescription Policy.Check that required blood tests, blood pressure readings and other monitoring have been completed before medication is issued.Undertake high-risk drug monitoring audits and shared care agreement monitoring audits.Contact patients regarding outstanding monitoring requirements.Maintain monitoring spreadsheets and ensure non-compliance processes are followed.Work closely with clinicians and colleagues to support safe prescribing and excellent patient care.Additional InformationThe postholder will be expected to maintain strict confidentiality, comply with practice policies and procedures, contribute to service development and quality improvement, and undertake training relevant to the role. Person Specification
Qualifications Essential
GCSE (or equivalent) in English and Mathematics at Grade C/4 or above. Good standard of general education.
Desirable
NVQ Level 2 or 3 in Business Administration, Customer Service or equivalent. Relevant training in medicines management, prescribing support or healthcare administration.

Previous experience working in a GP practice, NHS, healthcare or pharmacy setting. Experience of repeat prescription processing. Experience of carrying out audits, monitoring activities or report management. Experience of using clinical systems such as EMIS Web.
