About this role

Job summary

We are looking for a friendly, organised and motivated Receptionist/Administrator to join our busy GP practice team. As the first point of contact for patients, you will provide a professional, welcoming and compassionate service, ensuring patients receive the support they need while maintaining confidentiality at all times.

This is a varied role combining reception and administrative duties, requiring excellent communication, customer service and organisational skills. The successful candidate will work closely with GPs, nurses, administrative staff and the wider multidisciplinary team to help deliver high-quality patient care.

Main duties of the job

Greeting and assisting patients, visitors and healthcare professionals in a professional, courteous and empathetic manner.Answering telephone calls promptly, responding to patient enquiries and directing calls appropriately.Booking, cancelling and amending appointments using the clinical system in line with practice protocols.Registering new patients and maintaining accurate patient records.Managing incoming and outgoing correspondence, including emails, electronic communications, Accurx messages and Total Triage requests.Processing patient referrals and supporting coordination of appointments with the wider healthcare team.Scanning, coding and processing clinical and administrative documents onto patient records.Ensuring the reception area is clean, tidy, welcoming and well organised.Handling confidential patient information in accordance with GDPR, NHS policies and practice procedures.Undertaking general administrative duties including filing, record keeping and document management.Working collaboratively with GPs, nurses, allied health professionals and the wider practice team to support the effective running of the practice.Supporting the practice in delivering a high standard of customer service and patient care.Carrying out any other reasonable duties appropriate to the role.

Mosborough Health Centre is a friendly, welcoming and progressive GP practice located in Sheffield, providing high-quality primary care to a growing patient population of approximately 7,000 patients.

Our dedicated team consists of five GP Partners alongside a skilled multidisciplinary team, including GPs, nurses, healthcare assistants, pharmacists, physiotherapists, mental health professionals, reception and administrative staff. We work collaboratively to deliver safe, effective and compassionate care while continually striving to improve the services we provide.

Providing a professional, friendly and empathetic reception service, acting as the first point of contact for patients, visitors and healthcare professionals.Greeting patients, responding to enquiries and directing them to the appropriate service or member of staff.Answering telephone calls promptly and courteously, managing patient enquiries and accurately recording messages where appropriate.Booking, cancelling and amending patient appointments in accordance with practice policies and procedures.Registering new patients and updating patient demographic information to ensure electronic records remain accurate and up to date.Processing patient referrals and supporting the coordination of appointments with GPs, nurses and the wider multidisciplinary team.Managing incoming and outgoing communications, including emails, Accurx requests and Total Triage submissions, ensuring these are actioned efficiently and within agreed timescales.Scanning, processing and accurately filing clinical and administrative documents onto patients' electronic medical records.Maintaining the reception and waiting areas to ensure they are clean, tidy, welcoming and well organised.Handling confidential patient information in accordance with GDPR, NHS confidentiality requirements and practice policies.Undertaking general administrative duties, including filing, document management, record keeping and other office tasks as required.Working collaboratively with doctors, nurses, administrative colleagues and other healthcare professionals to support the efficient day-to-day running of the practice.Following all practice policies, procedures, health and safety requirements, and infection prevention and control guidelines.Contributing to a positive team environment and providing support to colleagues as required.Undertaking any other reasonable duties appropriate to the role, as requested by the Practice Management Team.

Person Specification

Qualifications Essential

Good standard of general education, including GCSEs (or equivalent) in English and Mathematics. Competent IT skills, including the use of Microsoft Office applications.

Desirable

NVQ Level 2 or equivalent qualification in Business Administration, Customer Service or a related subject.

Knowledge and skills Essential

Excellent communication and interpersonal skills with a compassionate and patient-centred approach. Strong organisational skills with the ability to prioritise and manage multiple tasks effectively. Ability to work accurately and pay close attention to detail. Good IT and keyboard skills with the ability to learn new systems quickly. Ability to maintain confidentiality and comply with GDPR and information governance requirements. Ability to remain calm and professional when working under pressure in a fast-paced environment. Excellent telephone and customer service skills.

Desirable

Knowledge of NHS primary care services and GP practice procedures. Understanding of appointment systems and patient pathways within general practice.

Experience Essential

Experience of working in a busy customer service or administrative environment. Experience of dealing with members of the public in a professional and courteous manner.

Desirable

Previous experience working as a Medical Receptionist or within a GP practice, NHS or healthcare setting. Experience using SystmOne or other GP clinical systems. Experience using Accurx and Total Triage systems.
