About this role

What you’ll be doing

We are seeking a proactive, customer-focused Workplace Coordinator on a part-time basis to deliver an exceptional workplace experience across our offices. Acting as the first point of contact for employees, visitors, contractors and suppliers, this role is responsible for reception, office operations, facilities coordination, workplace administration and event support. This is a highly visible role that is critical in ensuring our workplaces remain welcoming, efficient, well-stocked, safe and engaging environments for our people and visitors.

Reception & Visitor Experience

Welcome and assist guests, visitors and contractors.Manage front-of-house operations and respond to in-person workplace enquiries.Assist employees with general office-related requests, including building access, parking enquiries and office equipment guidance.Maintain a professional and welcoming reception environment.Office Operations & Administration

Manage incoming and outgoing mail, parcels and courier services, including local and international deliveries.Coordinate office supplies, stationery and printing consumables across all office locations.Conduct regular audits of office supplies and maintain appropriate stock levels.Manage workplace communication channels, including office updates and announcements.Provide overflow administrative support across the business as required, including expense management, travel bookings and other administrative tasks.Coordinate CPR and First Aid training across office locations.Coordinate Emergency Warden training programs and maintain associated records.Update workplace health and safety information, signage and emergency posters as required.Support workplace compliance activities and safety initiatives.Workplace & Facilities Management

Conduct regular workplace inspections to ensure meeting rooms, hot desks, allocated desks and common areas remain presentable and functional.Manage desk allocation processes, including hot desks and permanent workstations.Coordinate maintenance requests and maintain facilities issue logs.Assist with building-related matters and liaise with landlords, building management and service providers.Monitor and report workplace, IT and maintenance issues within meeting rooms and shared spaces.Manage coffee machine supplies, servicing and maintenance.Ensure office kitchens, store rooms and shared facilities remain well stocked and operational.Catering, Hospitality & Office Amenities

Coordinate catering for internal meetings, workshops, team events and external visitors.Manage office snack programs and workplace amenities across all office locations.Arrange corporate gifts including baby hampers, flowers and other employee recognition items.Support auditorium bookings, setup and reset activities in partnership with event hosts.Events & Employee Experience

Support the planning and delivery of internal and external events, including company-wide meetings, leadership events, celebrations, AGM activities and corporate functions.Partner with People & Culture, Marketing and other teams to support employee engagement initiatives.Assist with merchandise management and distribution.Support onboarding activities, including preparation and coordination of new starter packs. You are highly organised, approachable and thrive in a fast-paced environment. You enjoy helping others, take pride in creating exceptional workplace experiences and can confidently juggle multiple priorities.

Previous experience in reception, workplace coordination, office management, facilities administration or hospitality.Strong customer service and stakeholder management skills.Excellent organisational skills and attention to detail.Ability to manage multiple tasks and competing priorities.Strong written and verbal communication skills.Proficiency with Microsoft Office and workplace collaboration tools.A proactive, solutions-focused mindset.We know not everyone will meet every requirement, and that’s okay. This is a part-time opportunity with a minimum of 30 hours per week. We are open to candidates working 5 days per week (8:30am–2:30pm) or a 4-day arrangement across the week.
