About the Role
Wellington’s Investment Boutiques seek an Executive Assistant to provide high quality administrative and operational support to assigned investors and investment teams. The Executive Assistant helps leverage investor time by anticipating needs, managing logistics, organizing information, and keeping work moving across a fast-paced, detail-rich environment. This role requires strong judgment, discretion, organization, and the ability to manage competing priorities with limited direction. The ideal candidate is proactive, composed under pressure, comfortable using technology to create leverage, and interested in understanding the business context behind the work, including meetings, conferences, client activity, internal priorities, and shifting deadlines.
RESPONSIBILITIES The Executive Assistant will manage the daily support needs of assigned investment professionals and teams, including:
• Manage complex calendars with a focus on prioritization, conflict resolution, forward planning, and thoughtful use of investor time.
• Coordinate internal and external meetings, including room logistics, visitor registration, technology, materials, agendas, catering, and follow-up items as needed.
• Arrange domestic and international travel, including flights, hotels, ground transportation, itineraries, and adjustments when plans change.
• Prepare and organize meeting materials, conference packets, research materials, company information, reporting, and other documents that help investors prepare effectively.
• Use Outlook, Teams, OneNote, SharePoint, Excel, PowerPoint, Copilot, and other firm tools to create organized, scalable workflows that reduce manual follow-up and improve visibility.
• Maintain clear systems for email, task tracking, travel, meetings, coverage notes, records, and recurring processes so work is reliable and easy to transition or back up.
• Build strong relationships with investors, assistants, internal partners, external contacts, and vendors.
• Provide cross-coverage and backup support to other assistants as needed, including clear handoffs and ownership of urgent items.
• Exercise discretion with confidential information and sound judgment when determining what needs escalation, what can be handled independently, and what requires additional context.
• Support ad hoc projects, team events, visitor logistics, onboarding support, reporting needs, and process improvements that help the broader team operate more effectively.
QUALIFICATIONS
• Minimum of 3 years of administrative experience in a professional services, investment management, financial services, or similarly fast-paced environment preferred.
• Experience supporting multiple stakeholders with competing priorities and complex scheduling needs.
• Advanced proficiency with Microsoft Outlook, Teams, Word, Excel, PowerPoint, and OneNote, with interest in using AI and other technology to improve efficiency.
• Strong attention to detail, follow-through, and work quality across calendar management, travel, expenses, meeting logistics, and written communication.
• Ability to work independently, prioritize effectively, and identify when to escalate issues or seek additional context.
• Collaborative style, strong interpersonal skills, and the ability to build trust across internal and external relationships.
• Flexibility to support time-sensitive matters and changing business needs while maintaining professionalism and composure.

We strive to pay employees fairly and competitively across all levels and roles. Our approach to compensation considers all aspects of total compensation; all employees are eligible to receive salary, variable compensation, and benefits. The base salary range for this position is: USD 60,000 - 110,000This range takes into account the wide range of factors that are considered when making compensation decisions, including but not limited to skill sets; role; skills and experience; certifications; and education. This range is an estimate, and further details on salary and total compensation aspects will be shared with candidates during the recruitment process.
Base salary is only one component of Wellington’s total compensation approach. Other rewards may include a discretionary Corporate Bonus and/ or Incentives, if eligible.
