About this role
The Opportunity: This Graduate Admissions Coordinator I serves as the front-line administrator managing routine application intake, compliance tracking, and enrollment logistics for the School of Data, Mathematical, and Statistical Sciences (SDMSS) graduate programs. Additionally, the Graduate Admissions Coordinator I provides structural support for undergraduate operations by aggregating program assessment data and triaging centralized communications.
Responsibilities:
• Access, monitor, and download incoming graduate applications via Slate. Log application metadata, build initial internal tracking files, and clear processing queues daily.
• Audit applicant folders against university checklists. Identify missing credentials, official transcripts, or recommendation letters, and issue standard deficiency notices to applicants.
• Gather, format, and package verified application portfolios. Route completed files to Graduate Program Directors and admissions committees, track review timelines, and log faculty decisions.
• Manage graduate inbox queues, providing routine factual information regarding admission criteria and deadlines. Escalate complex, international, or residency inquiries to Program Directors.
• Generate template-based admission/funding letters and handles logistics for orientations and open houses. Collect milestone forms (plans of study, candidacy), track GTA/GRA paperwork, and enter standard tuition waiver lines.
• Aggregate routine quantitative enrollment, course evaluation, and retention metrics across undergraduate majors. Populate standard spreadsheets for faculty reporting and accreditation compliance.
• Provide logistical backup to undergraduate coordinators, including room bookings and exit interview scheduling. Monitor the math@ucf.edu and stat@ucf.edu inbox, routing messages to designated coordinators/directors.
• Perform other routine administrative duties, specialized projects, and operational support tasks as explicitly directed by the supervisor to support the overall mission of the School.
Minimum Qualifications: Bachelor's and 2+ years of relevant experience or Master’s degree and 0+ years of relevant experience; or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).
Preferred Qualifications:
• Degree in a related field.
• Experience in a higher education or academic support environment.
• Proficiency with Microsoft Office applications, including Excel, Word, Outlook, and Teams.
• Experience using Workday or other student, curriculum, or program management systems.
• Ability to manage multiple tasks, meet deadlines, and maintain accuracy and attention to detail in a fast-paced environment.
The most successful candidates may possess the following qualities:
• Strong organizational skills, including experience maintaining electronic records and documentation.
• Strong verbal and written communication skills, with the ability to work effectively with faculty, staff, students, and external partners.
• Ability to work independently while also contributing effectively as part of a collaborative team.
