Job Description What We Want The Program Coordinator I coordinates the planning, development and implementation of assigned project ROOTs in collaboration with PIs, Program Director, Program Managers and Literacy Coordinator.

• This position is grant funded which is renewed under the provisions of the grantor of the agreement.

• This position will be located in Houston to support schools in the Houston area.

Essential Duties/Tasks Program Planning and Implementation

• Support the Program Manager in coordinating all aspects of Project ROOTS.

• Assist with committee meetings, including preparing meeting materials and documentation.

• Research and recommend improvements to existing program components.

• Assist the Logistics Coordinator with ordering and tracking program materials needed for implementation.

• Prepare and manage program-related correspondence connected to program operations.

• Coordinate logistics and travel for implementation‑related seminars, workshops, orientations, and special events.

• Create, organize, and maintain program files, databases, and documentation.

• Serve as the primary point of contact for program inquiries and provide timely responses.

• Coordinate day‑to‑day project activities across Texas and Mississippi in collaboration with Project Managers and Coordinators.

• Facilitate communication among project leadership, researchers, tutors, virtual coaches, school personnel, and district partners.

• Maintain shared calendars, timelines, agendas, and follow‑up documentation to ensure alignment across all project strands.

• Support scheduling and coordination of VPD sessions, VPLCs, tutoring sessions, observations, coaching cycles, and ROOTS Institutes.

• Serve as a liaison with school‑based technology personnel to support deployment and troubleshooting of project technology tools.

Program Coordination and Support

• Assist in developing proposals to secure program funding and support.

• Manage inventory, organization, and tracking of LIS instructional materials, ROOTS tutoring guides, MOOPILs, handbooks, and technology devices.

• Oversee packaging, labeling, shipping, and distribution of materials to schools, tutors, and coaches in Texas and Mississippi.

• Maintain accurate inventory logs, shipment records, and receipt confirmations to support fidelity monitoring and audit readiness.

• Coordinate replacement, repair, and redistribution of technology devices and instructional materials.

• Support the Logistics Coordinator to ensure materials align with implementation timelines for treatment, control, and delayed‑release groups.

Event Coordination and Logistics

• Coordinate logistics and travel for program seminars, workshops, orientations, and other special events.

• Ensure timely and effective communication regarding event schedules, requirements, and updates.

Program Communication and Support

• Prepare, manage, and distribute general program correspondence.

• Assist in creating, formatting, and disseminating program materials.

Qualifications Required Education and Experience:

• Bachelor’s degree or equivalent combination of education and experience.

• Two years of related experience.

Preferred Qualifications:

• Bachelor’s degree in education or related field.

• Experience working in a public-school districts.

Knowledge, Skills, and Abilities:

• Ability to multitask and work cooperatively with others.

• Knowledge of word processing, spreadsheet, Canvas LMS and database applications.

• Verbal and written communication skills.
