Job Description A Glimpse of the Job The Administrative Coordinator II is responsible for coordinating and providing administrative support for the Division of Human Resources and Organizational Effectiveness. Serves in Office Manager capacity for the Division of Human Resources and Organizational Effectiveness.
Essential Duties and Responsibilities: HROE Office Management
• Serves in Office Manager capacity for the Division of Human Resources and Organizational Effectiveness.
• Coordinates setting up and welcoming new hires to the division, as well as staff moves and transfers.
• Serves as the first point of contact for AggieWorks requests and liaison with Facilities – completing forms for repairs or facility issues within the division.
• Oversees the upkeep of the office, including maintenance of the breakroom, workroom, and meeting rooms, with assistance from students and support staff.
• Coordinates the emergency evacuation plan and team for the General Services Complex.
• Keeps staff informed of policies/practices necessary to maintain a safe workplace.
• Assists the inventory custodian and liaison with Information Technology.
• May assist with the annual asset inventory and refresh of machines, and tracks deployment of new machines and disposal of old machines.
• Serves as one of the office's Departmental Parking Representative and coordinates business parking permits for staff and temporary permits for guests.
• Oversees the checkout of equipment and key control for all Division offices.
• Serves as initiator and/or approver for business processes and liaison with the division business contact.
• Coordinates purchases and handles upkeep of office supplies and equipment, including business cards and special orders.
• Develops, evaluates, and ensures adherence to office procedures.
• Adapts, combines, and makes improvements to services and processes of front desk and customer service practices.
• Assists with maintenance and organization of fiscal, administrative, and departmental records, as well as follows TAMU, State, and Federal records, retention, and destruction guidelines.
• Participates in workshops/programs to strengthen awareness and the customer service skillset.
HROE Administrative Support
• Assists Chief of Staff with administrative duties for Vice President and leadership team.
• Coordinates logistical plans and assists with details for division events, meetings, specialized activities, projects, initiatives, or other special functions.
• Serves as primary information resource for office administration methods and processes.
• Assists with reserving conference rooms and helping prepare spaces for team meetings.
• Effectively interacts and works with a population of internal and external customers (students, faculty, staff, retirees, and general public) and colleagues of all genders, age, backgrounds.
Supervision
• Supervises student employees by providing guidance, coordinating schedules, approving timesheets, and overseeing work performed.
• Supervises, trains, and evaluates the work of others.
• Assigns tasks and evaluates job progress.
• Encourages growth and lifelong learning for staff and student employees.
Other Duties
• Performs other duties as assigned.

Required Education and Experience:
• Bachelor's degree or equivalent combination of education and experience.
• Three years of experience in office administration.
Preferred Qualifications:
• More than three years of experience in office administration.
• Administrative support experience in higher education.
• Certified Administrative Professional – CAP.
• Ability to work in a collaborative team environment.
Knowledge, Skills, and Abilities:
• Ability to multitask and work cooperatively with others.
• Knowledge of word processing, spreadsheet, database, and presentation applications.
• Interpersonal and communication skills.
• Planning and organization skills.
Other Requirements and Factors:
• This position is security sensitive.
• This position requires compliance with state and federal laws/codes and Texas A&M University System/TAMU policies, regulations, rules and procedures.
