A Brief Overview The Administrative Assistant will provide administrative and operational support to the Singapore Administration team and the wider office. This role is ideal for a hands-on, proactive individual who enjoys supporting a variety of tasks and contributing to a positive workplace environment.

The successful candidate will be adaptable, resourceful, and willing to take on both routine and ad-hoc responsibilities. As the Singapore office prepares for an upcoming office relocation, this role will also provide support on workplace projects and coordination activities as needed.

What you will do Office Administration & Team Support

• Support the day-to-day operations of the Singapore office. • Greet visitors and assist with reception-related duties when required. • Handle incoming calls, mail, courier services, and office correspondence. • Coordinate meeting room bookings and ensure rooms are prepared for meetings and events. • Maintain office, pantry, and stationery supplies, including inventory tracking and replenishment. • Keep shared office areas clean, organized, and presentable. • Assist with document filing, scanning, data entry, records management, and other clerical duties. • Update office calendars, directories, and administrative records. • Coordinate the printing of business cards and other office materials. • Provide backup support to the administration team during periods of absence or peak workload. Facilities & Vendor Coordination

• Liaise with building management, vendors, contractors, and service providers for maintenance and office services. • Assist in monitoring office equipment, facilities issues, repairs, and service requests. • Support office relocation, renovation, and workplace improvement projects. Employee & Administrative Support

• Assist with employee onboarding activities, including workspace setup and coordination with IT for new hires. • Support travel arrangements, accommodation bookings, and expense claim administration when required. • Assist with internal communications, team activities, and employee engagement initiatives. • Help coordinate company events, meetings, workshops, and celebrations. Finance & Asset Administration

• Assist with invoice processing, payment administration, and maintaining supporting documentation. • Support tracking of office assets and inventory records. • Maintain accurate filing of financial and administrative documents. Ad-Hoc Responsibilities

• Support miscellaneous administrative and operational tasks as required. • Run occasional office errands and assist with special projects. • Take ownership of assigned tasks and follow through to completion.

Qualifications Skills & Experience

• Diploma or equivalent qualification. • 2–3 years of administrative, office support, customer service, or coordination experience. • Proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Teams). Personal Attributes
