The Leasing and Capital Deployment Coordinator plays a key role in supporting the Leasing team in the execution and coordination of leasing activities across the operational Poland portfolio. In addition, the role provides coordination and administrative support for selected capital deployment, land, BTS/BTO, pre-development and other related commercial real estate initiatives. The role supports transaction processes from initial inquiry, offer preparation and internal coordination through approvals, documentation, signing, archiving and reporting. The Coordinator maintains accurate records, tracks active leasing opportunities, offers and transaction milestones, prepares business documentation, and partners closely with Leasing, Capital Deployment, Legal, Finance, Asset Management, Property Management, Land, Procurement and external stakeholders, including brokers, customers and business partners. The role helps ensure that critical milestones are achieved, approvals are completed on time, documentation is accurate and audit-ready, and business priorities are executed efficiently. Success requires exceptional organizational skills, strong attention to detail, the ability to manage multiple concurrent priorities, ownership of administrative processes, and clear communication across cross-functional teams.

Key responsibilities include:

• Coordinate administrative and operational activities primarily supporting leasing transactions across the operational Poland portfolio, with additional support for selected capital deployment, land, BTS/BTO, pre-development and other commercial real estate initiatives. • Maintain integrated trackers and records for leasing opportunities, customer inquiries, active negotiations, issued offers, BTS/BTO/pre-development topics, land-related opportunities, key deadlines, follow-up actions and next steps. • Support the preparation of leasing offers, customer proposals, presentations, meeting materials, reports, correspondence and other business documentation for internal stakeholders, customers, brokers and leadership. • Monitor leasing, project and transaction milestones, proactively identify upcoming deadlines, and follow up with internal and external stakeholders to ensure timely completion. • Partner with Leasing, Capital Deployment, Legal, Finance, Property Management, Asset Management, Land, Procurement and other functions to facilitate information sharing and process execution. • Coordinate documentation workflows with the Legal department, including NDAs, broker agreements, lease-related documents, powers of attorney, corporate approvals, consents, signature packs, final version checks and documents prepared from standard templates. • Maintain complete, accurate and audit-ready documentation files, including editable versions, signed copies, approvals, offers, NDAs, broker agreements, lease files and project-related correspondence, in line with internal standards. • Verify agreements and key commercial data against CRM systems, including Salesforce, to help ensure consistency, accuracy and completeness of transaction records. • Support financial and operational reporting by gathering data, maintaining dashboards and assisting with periodic portfolio and transaction updates. • Prepare purchase orders, service requests or similar instructions, and support their coordination, tracking and settlement in cooperation with relevant internal teams. • Support the settlement and reconciliation of team credit cards, expenses and related administrative processes. • Identify opportunities to improve administrative workflows, documentation standards, reporting tools and transaction coordination processes while maintaining compliance with company policies and internal procedures.

• Experience coordinating multiple projects, transactions, documentation workflows or administrative processes in a fast-paced business environment. • Excellent organizational skills with exceptional attention to detail, accuracy and follow-through. • Ability to manage competing priorities, monitor deadlines and proactively follow up with stakeholders to ensure timely completion. • Strong written and verbal communication skills in Polish and English. • Advanced proficiency in Microsoft Excel, Word, PowerPoint and Outlook. • Ability to work effectively with cross-functional stakeholders, including senior leaders, while maintaining confidentiality and professionalism. • Strong analytical and problem-solving skills, with the ability to work with data, reports, trackers, systems and business documentation. • Proactive, reliable and ownership-driven approach to managing tasks and administrative processes. Preferred:

• Bachelor's degree preferred or equivalent experience. • Experience supporting commercial real estate, leasing, investment, asset management, land, development or capital deployment activities. • Experience using document management, CRM, transaction management or approval workflow systems. • Knowledge of commercial lease documentation, NDA processes, broker agreements, approvals and transaction coordination processes. • Experience preparing business reports, dashboards, meeting materials and executive presentations. • Experience supporting document preparation, signature processes, archiving and coordination with legal or finance teams. • Demonstrates willingness and capability to leverage emerging technology, automation and AI tools to improve efficiency, quality and speed.
