Job Description Summary Supervises staff responsible for daily case management operations, ensuring cases progress timely and efficiently through the judicial process. Provides specialized support within court administration, including calendar coordination, personnel management, addressing public inquiries, and researching and resolving issues related to case management. Hiring Range: $62,337.60 to $68,556.80

Distinguishing Characteristics: This is a classified position that reports to the Director or Manager of Court Services, based on the division’s operational needs. The incumbent works under general supervision and is responsible for supervising a staff of administrative support employees.

Minimum Qualifications:

A High School Diploma or equivalent GED Certificate and five years of progressive administrative work experience in an office or court setting; or an associate’s degree in business or public administration or a related field and three years of administrative work experience; or any equivalent amount of experience, training, and/or education approved by Human Resources.

Essential Duties & Functions:

• Oversees, evaluates, and addresses matters pertaining to the daily operational activities of one or more division units responsible for the generation and modification of the Court’s calendar. • Confers with judges, administrators, court partners, and staff concerning court calendaring, case processing and other court services. • Resolves procedural problems for staff and assists in solving difficult case processing issues. • Assists with the development and implementation of division’s goals, performance objectives, policies and procedures. • Analyzes operational procedures and makes recommendations to the director and manager of Court Services to streamline work processes. • Assists with recruitment, interviewing, and selection of new hires, transfers, and/or promotions. • Conducts initial and ongoing training for new and existing staff. • Develops training materials and manuals to assist staff in learning and maintaining their knowledge and skills. • Ensures work performed by staff is accurate, timely, and in accordance with protocol. • Evaluates employee performance, counsels employees, and mentors staff to enhance skills and productivity. • Problem-solves issues regarding the court’s case management software, verifies quality assurance, and submits problems to information technology for resolution. • Participates in the testing of updates or changes to the court’s case management system. • Coordinates court coverage with visiting judges and volunteer Judges Pro Tempore as needed. • Assists with administration of Pima Attorney Numbers (PAN) for attorneys practicing in superior court and maintains the attorney information database. • Assists in ordering office supplies and equipment. • Performs other related duties and projects as assigned.

Additional Responsibilities/Duties:

• Coordinates services with other court units and related entities. • May supervise volunteers and interns. • Performs specialist duties in the case of emergencies.

Knowledge, Skills, and Abilities:

• Must have a strong knowledge of the principles of supervision, training, delegation and be able to demonstrate sensitivity. • Must have strong verbal and written communication skills to engage effectively with varied audiences. • Must have proficient skills to operate computers and work with Microsoft Office software to include Outlook, Word, Excel spreadsheets and electronic databases. • Must have a general knowledge of the operation and procedures of the Court and the Justice system. • Must have the ability to manage resources and be familiar with basic budget planning. • Must have the ability to plan, organize, and coordinate support functions in an office setting. • Must have the ability to research facts, analyze, and identify resolutions to issues. • Must have the ability to work with and maintain confidentiality of court-related information. • Must have the ability to work independently. • Licenses and Certificates: Must have a valid Arizona driver’s license at the time of appointment.

Physical/Sensory Items: Typically performs duties in an office environment and may lift materials and/or equipment 20 lbs. or less.
