Job Purpose: The Senior Assistant Manager, Faculty Affairs provides strategic and operational leadership in managing all faculty-related activities within the School of Civil and Environmental Engineering (CEE). The role oversees faculty recruitment and appointment, culture and development, space and infrastructure, and operations, ensuring that faculty are well-supported in the areas of teaching, research, service and career development. This position plays a critical role in shaping faculty experience, enhancing engagement, and ensuring alignment with the School’s strategic objectives.
Key Responsibilities: 1. Faculty Recruitment, Appointment and Reappointment
• Lead and manage the end-to-end faculty recruitment lifecycle, including recruitment, appointments, onboarding, appraisal, promotion, and reappointment.
• Develop and implement recruitment strategies to attract and retain high-calibre academic talent.
• Ensure all faculty appointment processes are accurate, efficient, and compliant with University policies, governance requirements, and timelines.
• Drive continuous process improvements to deliver a seamless and positive experience for faculty and stakeholders.
2. Faculty Development, Culture & Engagement
• Drive initiatives to foster a collaborative, inclusive, and high-performing faculty culture.
• Lead the annual faculty performance appraisal process from planning to completion, ensuring timely completion, data integrity, data confidentiality, fairness and compliance with institutional policies.
• Support faculty career development, leadership development and succession planning initiatives.
• Manage faculty welfare and case matters, including well-being, peer-to-peer issues, and student-faculty matters.
3. Space & Infrastructure Planning
• Lead the planning and management of faculty offices, researcher workspaces, research-focused laboratories, and shared facilities to optimize space utilization and support the School’s academic and research priorities.
• Support policy development, strategic planning, data analysis, and documentation related to space and infrastructure management.
4. Stakeholder Management & Governance
• Serve as the primary liaison for faculty affairs-related queries from the Chair and senior leadership.
• Coordinate with College of Engineering to ensure consistent implementation of faculty-related policies, procedures and strategic initiatives.
• Engage with HR, finance, and administrative teams to align faculty affairs with broader institutional goals.
5. Strategic Planning, Data Management & Operations
• Maintain accurate and up-to-date faculty records and databases to support budgeting, reporting, and strategic decision-making.
• Analyse faculty-related data and prepare management reports, dashboards, presentations, and briefing materials for senior leadership.
• Identify opportunities for continuous process improvement through data analysis and operational review.
• Provide operational guidance and support to team members, contributing to an effective, collaborative, and service-oriented work environment.
Qualifications:
• A recognised Bachelor's, Master's, or PhD degree (or equivalent) with at least 5 years of relevant experience in people management, faculty administration, human resources, or a related field.
• Strong organisational, planning, and project management skills, with the ability to manage multiple priorities effectively.
• Excellent stakeholder management and interpersonal skills, with the ability to build trusted relationships across all levels.
• Ability to balance strategic thinking with hands-on operational execution.
• Strong analytical and problem-solving skills, with a data-driven approach to decision-making.
• High level of integrity, professionalism, and discretion in managing confidential and sensitive information.
