Job Description
Position Purpose The Transfer Credit Specialist provides specialized transfer credit evaluation services within the Office of Records and Registration to support student enrollment, progression, and degree completion. This position facilitates course-by-course transfer credit evaluation, maintains transfer equivalency and articulation systems, and applies institutional and Minnesota State transfer policies and procedures. The role collaborates closely with Admissions, Dual Enrollment, academic departments, and Records and Registration staff to ensure efficient and accurate transfer processing. The position also supports strategic enrollment and student success initiatives by identifying process improvements, analyzing transfer workflows, and enhancing the transfer student experience.
Responsibilities and Results Transfer Credit Evaluation & Articulation
• Independently facilitate transfer credit applicability, equivalencies, and articulation outcomes for undergraduate coursework, dual enrollment, prior learning assessment, military credit, and other non-traditional credit sources. • Interpret and apply institutional, Minnesota State, and academic program transfer policies to support consistent transfer credit decisions and student degree progression. • Serve as a subject matter resource regarding transfer pathways, transfer scenarios, and articulation practices for students, faculty, and campus partners. • Collaborate across academic and administrative functions to resolve complex transfer credit issues and support enrollment and student success initiatives. Priority: EssentialPercent of Time: 40%
Transfer Credit Systems & Technology Management
• Administer and maintain transfer credit technologies, articulation systems, transfer equivalency databases, and related student information system processes. • Analyze transfer processing workflows, monitor data integrity, and resolve system or articulation issues impacting transfer operations. • Lead or support implementation, testing, optimization, and enhancement of transfer credit technologies in collaboration with campus and vendor partners. • Develop and recommend system enhancements, process efficiencies, and operational practices that improve transfer credit accuracy, consistency, and service delivery. Priority: Essential Percent of Time: 25%
Process Improvement & Operational Support
• Analyze transfer operations, workflow trends, and assessment data to identify and implement process improvements that support operational effectiveness and student service goals. • Recommend enhancements to transfer evaluation practices, articulation procedures, and transfer-related operational processes. • Support institutional compliance with transfer policies, records standards, and Minnesota State guidelines while advancing strategic enrollment management initiatives. • Participate in assessment, testing, and continuous improvement activities related to transfer operations and student information systems. Priority: Essential Percent of Time: 15%
Campus Collaboration & Student Support
• Collaborate with Admissions, advising, academic departments, Dual Enrollment, and other campus partners to improve transfer student onboarding, articulation practices, and student support processes. • Provide consultation, training, and guidance regarding transfer credit policies, transfer technologies, and equivalency determinations. • Resolve transfer-related questions and complex student situations through effective communication, professional judgment, and cross-functional coordination. • Maintain confidentiality and integrity of student records in compliance with FERPA and institutional standards.
Other Duties as Assigned
• Perform other duties as assigned in support of departmental operations, enrollment management objectives, and university strategic priorities. Priority: EssentialPercent of Time: 15%
Minimum Qualifications
• Bachelor’s Degree
• Minimum 2 years’ professional experience in leading higher education student services, student records, Admission, Advising, or other related administrative experience
• Proficient knowledge of higher education compliance and regulatory standards
• Strong communication, customer service, and organizational skills
• Evidence of demonstrated ability to work with people from culturally diverse backgrounds
Preferred Qualification
• Master’s Degree
• Experience using student information systems, degree audit systems, and transfer articulation/equivalency software.
• Demonstrated knowledge of transfer credit evaluation, dual enrollment, prior learning assessment, and higher education records practices.
• Excellent analytical, organizational, and problem-solving skills with strong attention to detail and accuracy.
• Demonstrated ability to communicate effectively and collaborate with students, faculty, admissions staff, and university personnel regarding transfer policies and student concerns.
• Strong understanding of FERPA, data privacy standards, and confidentiality requirements related to student records.
• Proficiency with student information systems, database applications, spreadsheets, and standard office software.
• Demonstrated ability to identify process improvements, manage multiple priorities independently, and adapt effectively to organizational or technological change.
Other Requirements
Working Conditions Working conditions are primarily in a professional office setting with extensive use of computer systems and student information technologies. Limited travel may occasionally be required to attend professional conferences, meetings, training sessions, or partnership-related events. Occasional travel to other campuses or regional locations may occur to support transfer initiatives, collaboration activities, or professional development opportunities.
Physical Effort Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work. Occasional bending, reaching, lifting, pushing, and pulling up to 30 pounds.
