*Job Summary*

The HR Administrator will be a key support role within the Human Resources department, assisting the HR Manager and HR Coordinator with a variety of HR functions and administrative tasks. Additionally, the HR Administrator will provide support for the Head of Operations and assist with business and personal assistant duties as needed. This position involves managing employee records, supporting recruitment processes, ensuring compliance with labor laws, and assisting with employee relations, along with providing assistance to the COO on special projects and daily operations. The ideal candidate is highly organized, proactive, and able to manage multiple tasks efficiently while driving improvements in efficiency and culture within the organization.

*Key Responsibilities*

* *Support for HR Manager and HR Coordinator*: Assist with day-to-day HR operations, including document preparation, scheduling, and communication with employees. * *Employee Records Management*: Maintain and update employee files and databases, ensuring accurate and compliant record-keeping. * *Recruitment Support*: Assist with job postings, resume review, and maintaining candidate databases. * *Onboarding & Offboarding*: Assist in new hire orientation and ensure proper documentation for employee onboarding. Support offboarding processes, including exit interviews and documentation. * *HR Policies and Compliance*: Assist in ensuring company policies align with provincial and federal labor laws. Support employees with HR-related inquiries. * *Employee Benefits Administration*: Assist with employee benefit enrollments and changes. Address employee inquiries related to benefits. * *Training and Development*: Coordinate internal training sessions, track employee participation, and maintain records of training activities. * *Employee Engagement*: Assist in organizing employee engagement initiatives and recognition programs. * *Internal Communication*: Announce and celebrate staff anniversaries and birthdays, and maintain consistent communication within Canaray's internal chat system. * *Employee Management Systems*: Maintain and optimize internal employee management systems. * *Documentation System Optimization*: Rebuild and improve Canaray's internal documentation system for enhanced accessibility and efficiency. * *Employee Documentation Program*: Create and review employee documentation programs to ensure accuracy and compliance. * *Facilitation of Departmental Communication*: Facilitate communication between departments and provide reliable support to managers. * *Company Culture*: Play a key role in cultivating company culture by engaging with employees and recognizing exceptional staff performance. * *Cross-Functional Support*: Acquire cross-functional skills across the organization to support diverse business needs. * *Monitor Metrics & Productivity*: Monitor internal statistics, metrics, and organize workflows to address absences and maintain productivity levels. * *Radiation Manuals*: Ensure the upkeep and compliance of Radiation Manuals across all Canaray clinics. * *Executive Assistance*: Provide executive assistance to senior leadership, including: * Coordinating meetings, scheduling, preparing agendas, and following up on actions. * Handling confidential correspondence and sensitive information with discretion. * Assisting with special projects or initiatives as directed by senior leadership. * Managing and organizing executive filing systems, both physical and digital, for easy access to important documents. * Coordinating and assisting with events, itineraries, and special projects. * Conducting research and compiling data for reports, presentations, or projects as directed by senior leadership.
