Role Summary
As a senior administrator within the Sustainable Physical Metallurgy Group based at the University of Birmingham, you will provide support for a broad range of administrative duties, some of which may be complex. You will be part of the team in the School and might be asked to support the wider team with some tasks.
Main Duties
This role involves managing a wide range of responsibilities that keep our operations running smoothly. You’ll handle complex systems and procedures, offer informed advice, and use your judgement to resolve day‑to‑day queries independently. Building strong working relationships is key, as you will work closely with colleagues and stakeholders, ensuring clear and proactive communication. You will support the delivery of events and activities—from booking venues and coordinating speakers to managing bookings, gathering feedback, and producing summary reports. The role also includes independently managing small projects and carrying out desk research to support broader initiatives. You’ll work with University systems to analyse and interpret data, produce tailored reports, and resolve any data‑related issues, while also helping to develop and improve operational processes. Responsibilities may include financial monitoring, procurement, maintaining internal communications, supporting HR processes, managing facilities or health and safety matters, or coordinating international visitors. You will also provide specialist guidance or training to colleagues and offer professional secretarial support to committees when needed. Throughout all aspects of the role, you will ensure compliance with internal procedures and promote equality, diversity, and inclusion.
Person Specification
Educated to A‑Level or equivalent Level 3 qualification, or relevant experience demonstrating capability for the role. GCSE Mathematics and English at grade C/4 or above (or equivalent). Preferably experienced or qualified in accounts or project management. Preferably experience in working in HE Strong IT skills, including complex diary/email management, proficiency in MS Office (especially Excel and PowerPoint), and experience with enterprise systems; able to learn new software quickly. Able to plan and prioritise effectively, managing concurrent tasks and meeting deadlines. Professional, discreet, diplomatic, and able to handle sensitive information.
