About this role
The Depot Admin & Control Room Colleague provides essential administrative and system support to warehouse operations, ensuring accurate stock control, timely processing of inbound and outbound activities, and reliable reporting to support operational performance. This role is based on site and monitors the automation systems to escalate any system errors and plays a role in ensuring effective operations on site. Reports to the Control Room and Admin Supervisor(s)
Inventory & Stock Administration
Maintain accurate inventory records within warehouse systems (WMS).Support booking-in, pick-facing, location accuracy, and stock adjustments.Investigate and report stock discrepancies, shortages, and damages.Support cycle counts, stock checks, and audit activities.Inbound & ASN Administration
Create, receive, and validate ASNs prior to goods arrival.Match ASNs against purchase orders and physical deliveries.Print and manage inbound batch and delivery paperwork.Report inbound discrepancies to Supply Chain and Operations.Outbound & Transport Support
Prepare outbound documentation including delivery notes and CMRs.Update daily loading lists and transport trackers.Support IBT administration and depot transfer processesInventory & Stock Administration

Prepare outbound documentation including delivery notes and CMRs.Update daily loading lists and transport trackers.Support IBT administration and depot transfer processes.Liaise with transport teams and hauliers as required.Monitoring of automatic warehouse operations (using monitors and control panels).
Monitoring and evaluating system alarms and error messages.Checking and optimizing material flow in the warehouse.Ensuring smooth and efficient operations of all equipment – cranes, conveyors, stackers, etc.Recording and documenting operational data.Communication with maintenance technicians in case of faults (based on site).Maintaining and updating system documentation.Reporting, KPIs & Data Accuracy
Update daily and weekly KPI trackers.Produce operational reports for warehouse and supply chain teams.Validate data accuracy to support decision-making and audits.Highlight variances and exceptions for review.Quality, Compliance & Non-Conformance
Record and update non-conformance issues in warehouse systems.Ensure damaged or non-conforming stock is correctly logged and blocked.Maintain audit-ready records and documentation.Support continuous improvement through accurate issue reporting.General Administration & Support
Maintain filing systems and electronic records.Support stationery, uniform, and general administration requirements.Provide admin cover during holidays, sickness, or peak periods.Communicate effectively with Operations, Planning, and Supply Chain teams.Performs other activities based on the requirements of control room supervisorsTypical KPIs

Skills & Experience
Previous experience in warehouse, logistics, or supply chain administration preferable.Strong attention to detail and high levels of data accuracy.Confident using WMS, Excel, and internal reporting tools.Good organisational and time-management skills.Strong communication skills and ability to work in a fast-paced environment. Working Pattern
Full-time site‑based role operating across a rotating shift pattern with start times of 6:00am, 9:00am, or 1:00pm, depending on operational requirements. Cover required over hours of 6am to 9.30pm but rota will be planned in advance of 3 weeks min.
The role also includes Saturday working, scheduled in line with business needs which at present is 1 in 2 and salary for role reflects this requirement. Flexibility is required to support peak periods and ensure operational continuity.
