They partner with emerging consumer brands to help them expand into major retail channels across the US, supporting categories such as beauty, wellness, food and beverage, pet, and home. The company is scaling rapidly and building lean, high-performance systems to support growth while maintaining operational excellence.

Role OverviewThe Sales Operations & Onboarding Coordinator is an execution-focused role that supports outbound campaigns, onboarding workflows, and internal sales operations.

This role is best suited for someone who is highly organized, detail-oriented, and comfortable working within structured systems and SOPs. The focus is on consistent execution, clean data management, and making sure no steps are missed across the sales and onboarding process.

You will not be expected to build strategy from scratch. Instead, you will manage and execute pre-defined workflows, maintain accurate records, and support the team by keeping operations running smoothly.

Your ImpactYou will play a key role in ensuring that no sales opportunities are lost due to operational gaps or missed follow-ups. Your work will directly contribute to improving lead conversion rates, maintaining accurate sales data, and ensuring a smooth onboarding experience for new clients.

By maintaining strong operational discipline, you will help streamline workflows, reduce delays in contract processing, and improve overall team efficiency. Your attention to detail and consistent execution will support revenue growth and ensure a high standard of client experience.

Core ResponsibilitiesCampaign Monitoring & Lead Response Execution (30 percent)Monitor outbound campaign tools for replies, bounces, and opt-outs on a daily basisCategorize inbound responses based on defined SOPs and routing rulesSend scheduling links and execute structured follow-up sequencesConduct light research on interested leads and create accurate CRM entriesPrepare pre-call notes and support weekly reporting on campaign performanceContract Administration & Client Onboarding (25 percent)Send contracts through DocuSign and track signature progressFollow up on pending agreements based on defined timelinesExecute standard contract edits and escalate non-standard requestsCoordinate onboarding steps and update pipeline stages accordinglyCollect and verify required onboarding documents from new clientsCRM Management & Data Accuracy (20 percent)Maintain accurate and up-to-date records across the CRM systemTrack lead progression across all stages of the pipelineIdentify inactive or stalled leads and flag them for reviewSupport reporting workflows and maintain data consistencySuggest improvements to data organization and visibility when applicableOperational Tracking & Renewal Coordination (15 percent)Maintain trackers for active agreements and key contract datesNotify stakeholders of upcoming renewals and deadlinesMonitor payment status and flag discrepanciesTrack and document post-agreement updates and changesLogistics & Sample Coordination (5 percent)Coordinate shipment details between internal teams and external partnersShare tracking updates and monitor delivery timelinesFollow up on delivery status and document outcomesLinkedIn Outreach Execution (5 percent)Send outbound messages using pre-approved templatesMonitor responses and route leads into the CRM workflowLog outreach activity for tracking and visibilityRequirements
