Job Summary:
We are seeking a highly organized Legal Administrative Assistant to support attorneys with daily administrative and operational tasks. This role helps ensure the legal team can focus on billable work by managing scheduling, document preparation, communication, and coordination tasks.
The ideal candidate is detail-oriented, proactive, and comfortable handling multiple administrative responsibilities while maintaining accuracy and professionalism.
Responsibilities:
Manage attorney calendars, including scheduling meetings, hearings, and deadlinesPrepare, format, and organize legal documents and correspondenceMonitor and manage email inboxes, ensuring timely responses and follow-upsCommunicate with clients to provide status updates and coordinate information requestsFile documents with courts or relevant agencies when requiredCoordinate travel arrangements, meetings, and internal scheduling needs Maintain organized digital files and documentationSupport general administrative tasks to ensure smooth daily operationsRequirements
Prior experience in administrative support, legal administration, or executive assistanceBilingual proficiency in English and SpanishStrong organizational and time management skillsExcellent written and verbal communication skillsHigh attention to detail when preparing documents and managing recordsAbility to manage multiple priorities and deadlinesComfortable handling confidential and sensitive informationProficiency with common office tools such as email, calendars, and document formatting softwareExperience working with law firms or legal professionals preferredFamiliarity with legal document formatting or court filing processes preferredExperience supporting attorneys or legal teams in a remote environment preferred
