We are seeking a highly organized and proactive Executive Assistant to support our executive team. The ideal candidate will possess strong administrative skills, exceptional attention to detail, and the ability to manage multiple tasks efficiently. This role involves providing comprehensive support through calendar management, correspondence, and office coordination to ensure smooth daily operations. Prior office experience and proficiency with various software tools are essential for success in this position.
*Responsibilities*
* Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events. * Handle incoming calls via multi-line phone systems with professional phone etiquette, directing inquiries appropriately. * Prepare, proofread, and edit correspondence, reports, and presentations to ensure accuracy and professionalism. * Perform data entry, filing, and document management using Microsoft Office Suite and DocuSign for electronic signatures. * Assist with bookkeeping tasks utilizing QuickBooks and perform basic bookkeeping duties as needed. * Coordinate travel arrangements and prepare itineraries for executives. * Support front desk operations including greeting visitors and managing office supplies. * Provide exceptional customer service to internal staff and external clients, ensuring positive interactions at all times. * Organize files, maintain records, and assist with administrative projects to improve office efficiency.
*Skills*
* Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications. * Experience with QuickBooks for bookkeeping purposes. * Strong organizational skills with the ability to prioritize tasks effectively. * Excellent typing speed and data entry accuracy. * Demonstrated experience in clerical or administrative roles with office experience preferred. * Exceptional phone etiquette skills for handling multi-line phone systems professionally. * Attention to detail in proofreading documents and managing correspondence. * Ability to manage multiple priorities simultaneously while maintaining a high level of professionalism. * Familiarity with office equipment such as filing systems, printers, and scanners.
