Job summary
To be responsible for undertaking a wide range of secretarial and administrative duties and the provision of administrative support to the multidisciplinary team
Main duties of the job
a. Processing incoming and outgoing mail
b. Staff the front reception desk
c. File and store records as required
d. Photocopy documentation as required
e. Answer calls from patients on the surgeries telephone system
f. Process calling letters as requested
g. Data entry of new and temporary registrations and relevant patient information
h. Scanning of patient related documentation and attaching scanned documents to patients healthcare records
i. Process referrals to external agencies such as secondary care
j. Input data into the patients healthcare records as necessary
k. Action GP2GP tasks
l. Process referrals using the electronic referral system (ERS)
m. Process requests for information i.e. SAR, insurance / solicitors letters and DVLA forms
n. Process incoming e-test results, ensuring they are referred to the relevant clinician
o. Read code data on EMIS
p. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
q. Manage all administrative queries as necessary
r. Carry out system searches as requested
s. Maintain a clean, tidy, effective working area at all times
t. Support all clinical staff with general administrative tasks as requested
u. Process all DNA letters in accordance with current protocol

To be responsible for undertaking a wide range of secretarial and administrative duties and the provision of administrative support to the multidisciplinary team. Duties can include but are not limited to, the processing of information (electronic and hard copy) in a timely manner, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers and in accordance with current policies, including the use of the electronic referral service (ERS).
The following are the core responsibilities of the medical administrator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
Primary Responsibilities

Secondary Responsibilities
In addition to the primary responsibilities, the medical administrator may be requested to:
a. Partake in audit as directed by the audit lead
b. Produce meeting agendas and record the minutes of meetings
c. Book appointments
d. Complete opening and closing procedures in accordance with the duty rota
e. As required support in the management of repeat prescriptions, ensuring they are processed accurately and efficiently
f. Work at branch sites as required

Person Specification
Experience Desirable
Experience in reception and administrative duties Experience in Primary Care or other healthcare setting
