We're looking for an enthusiastic and motivated Business Administration Coordinator to join our service and make a real difference.

This is an exciting opportunity for someone who thrives in a fast-paced environment, enjoys bringing order to complexity and loves supporting others to do their best work. You'll lead a small, experienced team of administrators and play a pivotal role in supporting our Case Management team and Heads of Service.

No two days are the same. One moment you could be coordinating performance reports, the next managing competing priorities, supporting service developments, preparing for important meetings or solving problems before they become issues. You'll be trusted to work independently, use your initiative and keep things moving.

We're looking for someone who:

Has excellent organisational skills and exceptional attention to detailIs proactive and enjoys taking ownership and finding solutionsCommunicates confidently with a wide range of people and can build positive relationships quicklyCan juggle multiple priorities while remaining calm and focusedEnjoys leading and developing others, providing guidance and support to a small teamIs comfortable handling sensitive and confidential informationHas strong IT and administrative skills, including producing reports and managing information effectively.

Main duties of the job

In this role, you'll brings positivity, energy and a good sense of humour to the workplaceLine manage and support a small, dedicated team of administrators.Lead the administrative response to our Case Management teams, ensuring an efficient and high-quality serviceProvide close support to the Heads of Service, who form part of the senior management teamProduce and coordinate reports, performance information and key business documentationOrganise meetings, events and site visits, preparing agendas and supporting papersUse initiative and sound judgement to manage competing demands and resolve issues effectivelyThis role offers a hybrid approach to working, with typically three days based in our offices at Langdon Hospital, Dawlish, and two days working from home. However, as part of a responsive and collaborative leadership team, you'll need to be flexible and able to attend the office on additional days when service needs require it.

Person Specification

Experience Essential

Excellent organisational skills. Ability to prioritise workload and adapt to change when required Experience of dealing with confidential and complex information Experience of managing a team of administrators

Desirable

Understanding of Mental Health issues and health service terminology. Previous experience of working in a Healthcare or Social Care administrative setting

Qualifications Essential

Business/professional qualification to degree level or equivalent knowledge and experience. E.g. Managerial knowledge, project monitoring, supervisory, workload management, acquired through a degree, or equivalent training and substantial experience. Evidence of continuing professional and personal development

Desirable

ICDL (International Computer Driving License), or equivalent experience.

Communication and Working Relationship Skills Essential

Excellent interpersonal skills / Able to communicate with people at all levels Effective verbal and written communication skills for conveying complex information Maintain high level of confidentiality at all times. Ability to deal with sensitive and contentious information Excellent knowledge of all software applications particularly use of Word, Excel and PowerPoint preparation
